Administration Assistant
Location: Hybrid - Brighton
Type: Permanent - 8 hours per week - 10am to 2pm - 2 days a week (Hours and days negotiable)
Salary: £6,400 per annum (£28,000 FTE)
About the Role
We're looking for an Administration Assistant to keep Seed running smoothly day to day. You'll be the go-to person for our office, our suppliers and behind the scenes admin, from keeping the office space organised to managing supplier relationships and supporting our B Corp commitments. This role will suit a highly organised person with real attention to detail and previous experience in an administration assistant role, who's proactive and happy getting stuck in.
Responsibilities
Office and facilities
- Managing the office space day to day, including ordering supplies
- Maintaining an organised, clear and welcoming office environment
- Acting as the point of contact for building management, maintenance issues and any facilities queries
- Managing post, deliveries and couriers
- Keeping an inventory of office equipment and stationery, reordering as needed
- Working with support from HR to ensure the office environment is safe and compliant at all times, covering health and safety, fire safety and DSE assessments
Suppliers and finance admin
- Managing supplier relationships
- Completing a quarterly agency wide subscription cost review
- Chasing and coordinating anything required by our accountants
Wider support
- Owning the operational side of Seed's B Corp commitments
- Being on hand to support ad hoc administration tasks
- Arranging catering and logistics for pitches and in person meetings
- Booking travel and accommodation
What we're looking for
- Previous experience in an administration or office coordination role
- Highly organised, with the confidence to prioritise and get on with things unprompted
- Comfortable dealing with suppliers, contractors and building managers directly
- Accurate with numbers, invoices and records
- Discreet and trustworthy with confidential information
