Ophthalmology and Orthoptic Department
We are looking to recruit three part-time Receptionists to join our friendly and busy Ophthalmology and Orthoptic Department:
2 x Receptionist – 5 days per week
1 x Receptionist – 2 days per week

You will provide administrative support to the administration team and medical secretaries within the department. Key duties will include preparing medical notes, filing documentation to ensure patient records are complete and up to date, and undertaking a variety of administrative and reception responsibilities in line with the job description.
The successful candidate will have a good standard of IT skills and be able to work accurately and efficiently in a busy environment. Previous experience of NHS computer systems would be advantageous; however, full training will be provided for the right candidate. We are looking for an organised, proactive individual with excellent communication skills and a positive, flexible approach to work.

Main Duties and Responsibilities
Provide reception cover for Outpatients, Eye Casualty, Ward and Orthoptics services.
Answer telephone calls and support the Eye Casualty Triage service.
Welcome patients attending clinic appointments in a professional, courteous and efficient manner.
Ensure patient information held on the electronic patient record system (Camis and Nervecentre) is accurate and up to date, verifying contact details and recording at least two telephone numbers at each patient interaction.
Respond to telephone enquiries appropriately, resolving issues within agreed parameters and escalating patient concerns when necessary.
Maintain effective written and verbal communication with clinical teams, medical secretaries and administrative colleagues.
Liaise with other hospital departments, GP practices and external healthcare professionals to support patient care and administrative processes.
Ensure patient outcomes are recorded following consultations, escalating any missing or unclear outcomes to the appropriate clinician or team member.
Assist with obtaining copies of patient notes, investigation results and reports from both internal and external healthcare organisations, and support searches for missing records.
Undertake general administrative duties including preparing, locating, collecting, delivering and filing clinic notes and patient documentation.
Carry out photocopying, scanning, mailing and other routine administrative tasks as required.
Provide cross-cover for colleagues within the administration team during periods of absence.
Use the electronic patient administration system (Camis) to access patient records, update information and arrange follow-up appointments.
Support the induction and training of new members of staff.
Comply with organisational policies and procedures, including those relating to attendance, sickness reporting and participation in the appraisal process.
Additional Information
The post-holder may be required to undertake other duties appropriate to the role, as reasonably requested by their line manager.
The post-holder will be expected to uphold the principles of the NHS Constitution and demonstrate the Trust's values and behaviours in their day-to-day work.
The post-holder must adhere to all relevant professional standards, NHS Codes of Conduct, legislation, policies and procedures relevant to their area of work.
The post-holder will be expected to work towards Corporate, Division, Directorate and Departmental objectives and standards to ensure the delivery of a high-quality service.
The post-holder must undertake all mandatory and role-specific training and ensure that training requirements remain up to date.
