SystmOne Administrative Assistant (Fixed Term – 12 Month Maternity Cover)
35 hours per week
We are a friendly, busy 2 partner GP practice and are currently looking for an administrative assistant to work 35 hours per week. Previous experience of working in a administrative role is essential and experience of working in a customer feedback role is desired.
The successful applicant will need to be highly motivated, adaptable and flexible. As part of the practice team the candidate will need excellent verbal, written and IT skills, communication, people and customer service skills along with the ability to work as part of a team. Applicants must possess the ability to work quickly under pressure, prioritise and multitask.
Working Hours: Mon - Fri 7 hours per day - total 35 hours
Also includes the requirement to work an additional Saturday / Sunday once or twice per month. (weekend shift times will vary)
Work Location: On site only
Applicant must be able to do additional hours to cover staff leave and must be able to work flexible hours.
Key responsibilities include, but are not limited to:
· Manage patient registrations, medical records, PCSE processes and GP2GP transfers.
. Support the reception team by answering incoming telephone calls, transferring calls where appropriate, responding to patient enquiries and ensuring requests are dealt with efficiently and professionally.
· Support the smooth running of reception and administration, including emails, prescriptions, patient online access and appointment management.
.Coordinate patient recall programmes, book appointments and ensure appropriate follow up where required.
· Lead administrative processes for cancer referrals, 24 hour blood pressure monitoring, cervical screening and safeguarding reports. Prepare and type letters, generate referrals, scanning and process incoming hospital correspondence, ensuring patient records are updated and actions are completed promptly.
· Support practice operations by liaising with external providers, maintaining records, arranging patient transport and ensuring administrative tasks are completed efficiently. Carry out regular practice audits
· Maintain the reception environment, patient information displays and support the wider reception team to deliver an efficient and high quality service.
· Lead the practice complaints process and manage requests for patient information, including Subject Access Requests, insurance reports and DVLA forms.
