Job Summary
We are seeking a proactive and detail-oriented Commercial Assistant to support our commercial and administrative operations. This position is pivotal in ensuring smooth internal processes, efficient client interactions, and strong customer retention. The successful candidate will work closely with the General Manager, Head of Commercial, technical team, and other departments to maintain high standards of service and operational excellence.

The Opportunity
This is a varied role covering sales administration, marketing, contract management, supplier liaison and customer communications. No two days are quite the same, and you'll be involved in everything from processing orders and managing renewals to coordinating with suppliers and supporting customer onboarding.
The position would suit someone with strong administrative skills, excellent attention to detail and a genuine passion for providing great customer service.
What You'll Be Doing
Supporting the Sales Team
You'll help keep the sales process moving by:
- Preparing customer quotations and proposals.
- Generating sales leads
- Creating posts for our social media pages
- Running mail campaigns
- Processing sales orders and ensuring all required documentation is completed accurately.
- Maintaining customer records and sales opportunities within our systems.
- Monitoring outstanding quotations and supporting follow-up activity.
- Assisting with customer onboarding and coordinating information between departments.
- Producing sales and pipeline reports for management.
Administration of Contracts and Renewals
You'll play a key role in ensuring our customers receive a seamless service by:
- Maintaining records of customer contracts and renewal dates.
- Identifying upcoming renewals and ensuring they are progressed in good time.
- Working alongside Account Managers on contract renewals.
- Tracking contractual documentation and obtaining completed signatures.
Working with Suppliers and Vendors
You'll regularly liaise with technology partners including Microsoft, Xerox, Gamma, Vodafone, O2, EE and other suppliers to:
- Obtain pricing and product information.
- Raise and track supplier requests.
- Manage supplier documentation and contact records.
- Support product and service ordering processes.
Mobile and Telecoms Administration
The role will also include supporting our telecoms and mobile services by:
- Assisting with new mobile connections, SIM swaps and number porting requests.
- Maintaining accurate customer records and mobile databases.
- Coordinating provisioning requests with suppliers and internal teams.
- Supporting connectivity and telecoms order administration.
Customer Communication
Providing excellent customer service is an important part of the role. Responsibilities include:
- Responding to customer enquiries in a professional and timely manner.
- Arranging meetings and appointments for the team.
- Preparing customer communications and supporting documentation.
- Keeping customers informed throughout the order and delivery process.
General Administration
You'll also support the wider team through:
- Managing shared inboxes and allocating tasks appropriately.
- Assisting with diary management and meeting coordination.
- Maintaining accurate electronic filing systems and records.
- Handling telephone enquiries and providing first line support on technical issues.
What We're Looking For
Essential Skills and Experience
- Strong administration and organisational skills.
- Excellent attention to detail.
- Confident written and verbal communication skills.
- Ability to manage multiple tasks and deadlines.
- Good working knowledge of Microsoft 365, including Outlook, Excel, Word and Teams.
- Strong customer service skills.
- Ability to work independently and use initiative.
Desirable Skills and Experience
- Previous experience within an MSP, telecoms, IT, mobile or technology-based business.
- Experience using CRM systems.
- Knowledge of telecoms, mobile, IT services or managed print solutions.
- Experience dealing with suppliers and managing orders.

What Success Looks Like
During your first year with RJ Cortel, you'll:
- Support and coordinate sales administration activities, ensuring orders, contracts and customer records are processed accurately and efficiently.

- Reduce the administrative burden on the commercial team.
