Job Description:
The receptionist will be responsible for greeting and assisting visitors, answering phone calls, handling inquiries, and performing a variety of administrative tasks to support the smooth running of the office. The ideal candidate is professional, organized, and has strong interpersonal skills.
Key Responsibilities:
- Welcome guests, clients, and staff, ensuring a friendly and professional atmosphere.
- Manage incoming calls, take messages, and direct inquiries to the appropriate staff members.
- Organize and manage appointment bookings, meetings, and conference room schedules.
- Monitor and maintain inventory of office supplies, ordering items as necessary.
- Sort and distribute incoming mail and packages, and prepare outgoing mail.
- Ensure the reception and common areas are tidy, presentable, and stocked with necessary materials.
- Provide support with filing, data entry, copying, scanning, and other office tasks.
- Maintain records of visitors and staff sign-ins for security and tracking purposes.
- Communicate with team members to relay messages and facilitate smooth office operations.
- Provide basic information to clients or direct them to the appropriate staff for more detailed information.
- Process payments or issue receipts as needed.
