Office Manager | Drug & Alcohol Rehabilitation | Devon (Ilfracombe) | Full Time
About Us
We are a thriving 50-bed residential drug and alcohol rehabilitation facility based in the beautiful North Devon coast. We are a close-knit, passionate team committed to transforming lives, and we're looking for someone who shares that drive to join us in a pivotal role.
The Opportunity
This is not your average office manager role. Yes, you'll keep the office running smoothly — but if you have the ambition and the talent, there is a genuine opportunity to grow into something far more significant.
We need someone who can handle the day-to-day office operations with confidence, and who has the drive and capability to take on broader responsibilities: supporting our management team, building relationships with key stakeholders of the home.
If you've been doing admin work and quietly thinking "I could do more than this" — we want to hear from you.
What You'll Be Doing
Core Office Management
- Managing the diary and scheduling meetings and appointments for the senior leadership team
- Acting as first point of contact — welcoming visitors, handling incoming calls professionally, and relaying messages from social workers, GPs, care professionals, and commissioners
- Maintaining filing systems (electronic and paper-based) and keeping office databases up to date
- Ordering office supplies, stationery, staff uniforms, and equipment
- Supporting the management team with minute-taking for staff and resident meetings
- Assisting with staff rotas and training coordination
- Preparing reports, documents, and presentations using Microsoft Office
- Strong experience where you are able to oversee HR (hiring , onboarding , upkeep of HR files etc)
Where You Can Make a Bigger Impact (as you settle in)
- Supporting kitchen and operational audits, helping us maintain the highest standards
- Assisting with outreach activity — contacting rehabilitation centres, NHS partners, local authorities, and referral agencies to promote our step-down service and grow occupancy
- Helping prepare presentations and promotional materials for potential referral sources
- Supporting the senior leadership team with reporting, performance monitoring, and strategic planning
- Acting as a communication bridge between operational teams and senior management on governance and policy matters
What We're Looking For
Essential
- Solid office administration experience — organised, reliable, and detail-oriented
- Professional telephone manner and confidence communicating with a wide range of people
- Competent with Microsoft Office (Word, Excel, Outlook)
- A proactive attitude and the ability to manage multiple tasks without being chased
- Personable, warm, and able to represent the organisation well with external visitors and partners
Desirable (but not required — we'll invest in the right person)
- Experience in health, social care, or a regulated care environment
- Exposure to stakeholder liaison, referrals, or any form of business development
- Familiarity with CQC-registered services or commissioning processes
- Experience supporting senior managers or directors directly
