KOICOMS is a Glasgow City Centre business services provider supporting SMEs across the UK. We help customers with essential commercial services including card payments, waste management, utilities, telecoms and related business solutions.
As the business continues to grow, we are looking for a dependable and well-organised Office Administrator to support the day-to-day running of the office and help keep operations moving efficiently.
The Role
This is a varied and fast-paced office role suited to someone who enjoys organisation, administration and supporting a growing business.
We are looking for someone proactive, hands on, reliable and organised who can work well under pressure and stay on top of multiple priorities.
Responsibilities
- Support management with day-to-day coordination and administrative support
- Manage and organise shared inboxes and incoming correspondence
- Answer inbound calls professionally and direct enquiries appropriately
- Maintain accurate records and update customer information where required
- Handle administrative duties including filing, data entry and helping clear administrative backlogs
- Liaise with the Operations Manager to support smooth daily operations
- Help keep the office and reception area organised and professional
- Handle confidential and sensitive information with discretion
- Assist with invoicing, expenses and general financial administration
- Support customer administration and operational processes
- Ensure tasks and follow-ups are completed efficiently and on time
Requirements
- Previous office administration experience, ideally within an SME environment
- Excellent organisational skills with the ability to multitask effectively
- Strong written and verbal communication skills
- Friendly and professional manner with good customer service skills
- Proficient using Microsoft Office and similar office software
- Experience using CRM systems such as Salesforce or similar platforms
- Experience using invoicing or accounting software
- Ability to work well under pressure within a busy office environment
- Previous experience within service-based businesses is advantageous
- Experience within telecoms, utilities, payments, waste management or similar sectors is helpful but not essential
- Proactive and organised individual able to work independently and manage multiple priorities
- Strong team player with a positive and can-do attitude
