LDA Support is looking for an organised, proactive and confident Scheduling Coordinator to join our Head Office team in Alcester.
LDA Support provides temporary staffing support to health and social care organisations. When one of our clients needs staffing cover, our Scheduling Coordinator is responsible for finding the right agency worker and getting that shift filled.
This is a key operational role combining day-to-day scheduling, client and worker coordination and participation in our out-of-hours management on-call rota.
It is much more than an administrative rota role.
You will speak regularly with clients and agency workers, manage multiple staffing requests, advertise shifts, proactively contact suitable workers and respond to last-minute changes.
A significant part of the role is about being proactive. If a shift is difficult to fill, we need someone who will actively work through the available options rather than simply waiting for someone to accept it.
What You’ll Be Doing
· Receiving staffing requests from our clients.
· Recording the details and requirements of each shift accurately.
· Finding suitably experienced and available agency workers.
· Proactively contacting workers to offer available shifts.
· Publishing available shifts through our scheduling software.
· Confirming staffing arrangements with clients and workers.
· Managing sickness, cancellations and last-minute changes.
· Maintaining oversight of outstanding and unfilled shifts.
· Building strong working relationships with our regular agency workers.
· Getting to know our clients and the types of workers who work well within their services.
· Helping maximise the number of sustainable staffing hours delivered by LDA Support.
· Keeping scheduling systems accurate and up to date.
· Reconciling completed shifts ready for payroll and invoicing.
· Highlighting recurring staffing gaps and workforce requirements to management.
On-Call
The Scheduling Coordinator forms part of LDA Support’s management on-call rota.
You will normally work on call on an approximately 1 week in 3 basis, with an additional £100 payment for each week worked on call.
When on call, you will respond to urgent out-of-hours matters, particularly staffing issues such as:
· Sickness and last-minute cancellations.
· Urgent client requests for cover.
· Finding and coordinating replacement workers.
· Communicating changes to clients and workers.
· Providing an appropriate response to immediate staffing issues.
You will not be expected to deal with significant care, safeguarding or operational concerns alone. Clear escalation arrangements are in place so these can be referred to the appropriate manager.
Participation in the on-call rota is an essential part of the position.
What We’re Looking For
You will need to be:

· Accurate and detail-focused.
· Confident using IT systems and spreadsheets.
· Professional when dealing with clients and workers.
· Comfortable taking responsibility and seeing tasks through.
· Able to participate in the out-of-hours on-call rota.
Previous scheduling or staffing experience would be particularly useful.
Experience within a healthcare or social care staffing agency would be an advantage, although we would consider someone with strong coordination skills from another fast-paced environment.
How the Role Fits Within LDA Support
The Scheduling Coordinator works closely with our Business Development & Operations Manager, who has overall responsibility for the day-to-day operation, development and growth of the business.
You will also work alongside our Support Team Managers, drawing on their knowledge of clients, services, care requirements and agency workers.
As Scheduling Coordinator, your role is to sit at the centre of that process — taking a staffing requirement from the client and turning it into a successfully filled shift.
These three roles also work together to provide LDA Support’s management on-call function.
