Responsibilities
- Manage front desk duties including greeting visitors, answering phone calls with professional etiquette, and directing inquiries efficiently
- Maintain accurate records through data entry, filing, and document management using Microsoft Office and Google Workspace tools
- Coordinate appointments, meetings, and calendar schedules for team members to optimise workflow
- Assist with administrative tasks such as preparing reports, managing correspondence, and organising office supplies
- Support team members and engineers with, including preparing documents, updating databases and arranging day to days engineer site visits via our working managment system
- Ensure the office environment remains organized, clean, and welcoming at all times
Requirements
- Positive outlook with proven experience in an office or administrative role demonstrating strong organisational skills
- Proficiency with computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and QuickBooks
- Excellent and friendly phone etiquette with the ability to communicate clearly and professionally in all interactions
- Strong typing skills with high accuracy and efficiency
- Previous clerical experience involving data entry and document management
- Ability to multitask effectively in a fast-paced environment while maintaining attention to detail
- Familiarity with office equipment such as printers, scanners, and phones is preferred
Although experience in the heating and air conditioning sector is preferential, a positive attitude, flexibility and a light hearted but professional nature are the most important qualities you will have.
