Background
SAIF was established in 1989 to promote and protect independent funeral directors, many of our members are multi-generational family businesses who have served in their communities.
60% of at-need funerals are conducted by independents.
SAIF represents members across the UK government and media. We provide business support and advice to our members, as well as education and professional development courses.
SAIF is led by the National Executive Committee, and we partner with SAIF Scotland’s Executive Committee.
Role Purpose:
To ensure that events are administered in a timely and professional manner, which Standards the ability to provide a comprehensive, professional, and qualitative administration service complaints. Maintaining a positive and friendly company image by acting as the first line of contact online, by telephone and where applicable in person.
Areas of Responsibility
- Assists in administration, planning and arranging events for Regional and Executive meetings Including arranging accommodation, catering, scheduling and liaising with speakers when required
- Assistance with Education Days
- Assistance with annual general meetings / banquet weekend
- Assistance with ad hoc meetings when requested
- Booking administration
- Liaising with the Administration Manager and the Chief Executive on developments and upcoming events
- Working with the Digital Lead on event promotion, online feedback questionnaires and timely communication to members.
Complaints
- Complaint’s administration including case management
- To ensure that all complaints logs and RAG related data is accurate and updated
- To provide monthly reports on Standards data
- To work with the Administration Manager and the Standards Chairman to provide a high-level standards system
- Handling complaints by phone, email, and post
- Working with the Professional Standards Team on compliant allocation and monitoring
- Drafting letters / responses to both members and complainants
- Managing complaint expectations
- To work and support on designated projects
- Collate and prepare the data for the annual / biannual CTSI reports
- Understand and adhere to alternative dispute resolution (ADR) requirements
- To organise and attend meetings, take minutes and distribute accordingly
- To identify and record any potential conflicts of interest
Plus, additional tasks such as:
- Manages correspondence by answering emails
- Answers phone calls and handling queries
- Interacts with members and carries out their requests in a timely and professional manner
- Manages outgoing posts and records data where relevant
- Attends Education Day, AGM/Banquet Weekends. To attend NFE when requested. Annual general meeting weekend, NFE and Education Days may involve weekend and overnight stay.
- Assisting with other promotional activities where required including the annual associates wall planner
- Other duties as assigned (including filing, shredding, updating of member records)

- Level 2 or equivalent English & Maths qualification
- Proven experience working within a busy administrative role
- Experience or knowledge of the funeral profession is ideal but not essential as training will be given
- Experience in event administration and complaints handling is preferred but not essential as training will be given
- Experience in complaints handling is preferred, but training will be given
- Proficient using Microsoft office
- Excellent written and verbal communication at all levels
- Able to work without supervision and to self-manage without being prompted

Hours of work:
Monday, Tuesday & Friday: 9am -5pm. Wednesday & Thursday: 12.30pm - 5pm.
Working on site at the office, with the flexibility of working 1 day at home, if required.
Pay: £28,480.00 per year
