We are seeking a highly organised, experienced Project Coordinator / Sales Administrator to join our Later Living team. This role combines client-facing sales administration with hands-on ownership of confirmed projects, managing the detail, pace, and complexity that turns a sale into a flawlessly delivered space.
Working closely with the Sales Manager and wider Later Living team, you will act as the link between clients and internal departments throughout the sales process. Once a project is confirmed, you will take ownership of it, coordinating Sales, Design, Styling, Warehouse, and Installation teams to ensure ordering, scheduling, and delivery are commercially sound, operationally efficient, and delivered on time.
This is a dynamic, fast-paced role with strong opportunities for growth, including future project ownership and line management.
Key Responsibilities
Project Delivery & Coordination
- Take ownership of projects once confirmed by Sales, managing them through ordering, delivery, and installation.
- Act as the central point of coordination between Sales, Design, Stylists, Warehouse, and Installation teams.
- Manage multiple live projects simultaneously within a fast-paced, volume environment.
- Monitor project and order progress, providing regular updates to clients and stakeholders.
- Support project sign-off, ensuring all details are complete and meet required standards.
Ordering, Scheduling & Logistics
- Place and manage orders in line with approved specifications, timelines, and budgets.
- Coordinate delivery schedules and installation timelines in collaboration with Operations.
- Monitor progress closely, identifying potential issues before they impact delivery.
Commercial & Budget Control
- Maintain commercial oversight of each project, ensuring spend aligns with approved budgets.
- Understand cost structures, margins, and the financial impact of decisions.
- Flag risks, overspend, or discrepancies early, working with the Operations Manager to resolve them.
- Identify opportunities to improve efficiency and ways of working.
Problem Solving & Ways of Working
- Identify and resolve issues proactively, escalating where necessary with solutions.
- Respond quickly and calmly to changes, delays, or challenges as they arise.
- Balance competing priorities across multiple projects without losing attention to detail.
- Work closely with the Sales Manager and Operations Manager to align project delivery with operational capacity.
- Attend internal meetings, training sessions, and development activities as required.
- Adhere at all times to company standards, policies, and statutory requirements.
Sales Administration & Client Support
- Administration support to the Sales Manager.
- Act as a primary point of contact for clients, handling enquiries and maintaining strong relationships.
- Process sales orders accurately, liaising with internal teams to ensure smooth delivery.
- Maintain accurate records, documentation, and filing systems.
- Attend networking events and represent the business professionally.
Skills & Experience
Essential
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills, with confidence in client-facing situations.
- High attention to detail and a proactive, problem-solving approach.
- Experience in project coordination, project management or similar delivery-focused and sales administration.
- Strong commercial awareness with a clear understanding of budgets and cost control.
- Proficient in Microsoft Office.
Desirable
- Experience within the care sector, interiors, or a commercial/project-based environment.
- Proven experience in a Project Coordination or delivery-focused role.
- Experience of SAP.
