Job Overview
Fix Auto Stourport is entering an exciting period of growth, and we are seeking an experienced Front of House & Office Manager with previous experience in the front office of a bodyshop or accident repair centre. This is not a junior receptionist role - we require someone who understands bodyshop workflow, insurer processes, customer handling, and efficient administrative management.
Key Responsibilities
Front of House & Customer Management
- Manage daily front-of-house operations in a busy bodyshop environment.
- Act as the main point of contact for customers, insurers, engineers, and suppliers.
- Handle customer updates, queries, and complaints professionally.
- Book vehicles in and out in line with workshop capacity and repair schedules.
Bodyshop Administration & Systems
- Operate and manage Autoflow CRM for job management and workflow tracking.
- Maintain accurate job records, customer files, and insurer documentation.
- Support estimators and management with job progression, authorisations, and admin follow‑up.
- Ensure documentation complies with insurer and BSI requirements.
Insurance & Compliance Support
- Assist with insurer approvals, audits, and compliance processes.
- Maintain organised records in support of BSI Kitemark and Fix Auto network standards.
- Ensure all front‑of‑house processes align with insurer and network requirements.
Office & Site Management
- Oversee front-office organisation, cleanliness, and presentation.
- Manage phone systems, inboxes, and daily administrative workflows.
- Assist with staff coordination, onboarding paperwork, and basic HR tasks.
- Act as a key-holder and support opening/closing procedures as required.
Essential Experience & Skills (Non‑Negotiable)
- Previous experience managing the front office of a bodyshop or accident repair centre.
- Strong understanding of insurance repair processes and bodyshop workflow.
- Experience using Autoflow or similar management systems.
- Confident communicator with customers, insurers, and internal teams.
- Highly organised with excellent attention to detail.
- Able to manage pressure, priorities, and multiple tasks.
- Professional, calm, and authoritative approach.
Desirable Experience
- Experience within the Fix Auto network or similar.
- Experience supporting BSI Kitemark or insurer audits.
- Knowledge of estimating platforms and insurer portals.
