Main purposes of the job
The dental receptionist is the first point of contact for all patients entering or contacting the practice. The main purpose of the role is to provide a friendly, professional and efficient front of house service while supporting the smooth day to day running of the practice.
Key Responsibilities and Main Duties
- Provide a warm, professional welcome to all patients
- Deliver outstanding customer service at every stage of the patient journey
- Handle patient enquiries in person, over the phone, and via email
- Act as the first point of contact for feedback or complaints, escalating when appropriate
- Book, reschedule, and manage appointments efficiently
- Maintain a well-organised and optimised appointment diary
- Support recall systems and follow-ups to maximise patient attendance
- Help convert enquiries into confirmed appointments
- Answer calls promptly and professionally
- Liaise with clinicians to ensure smooth patient flow throughout the day
- Send patient communications using appropriate channels (phone, email, etc.)
- Manage incoming and outgoing correspondence
- Maintain precise and compliant patient records using Dentally
- Confidently upload and manage clinical documentation, including X-rays and images
- Record detailed and accurate notes to support clinical and administrative handovers after each patient interaction
- Support general administrative duties such as scanning, filing, and document management
- Take payments and deposits accurately
- Complete end-of-day cashing up and support financial reconciliation processes · Assist with stock control and ordering, ensuring the practice is well supplied.
Additional Responsibilities at Tooth Doc
- Supporting marketing and outreach follow ups
- Support in generating content for social media posts and stories.
What We Are Looking For
- Previous experience in a dental receptionist role (essential)
- Strong working knowledge of dental software (Dentally preferred)
- Excellent communication and interpersonal skills
- A proactive, solutions-focused approach with high attention to detail
- Confidence in handling sensitive situations and patient concerns
- Proven ability to manage a busy diary and prioritise workload effectively.
- Very well-presented, reliable and punctual.

Working Pattern
Thursday and Friday – At Dental Practice – 8.30am to 7pm
Saturday - At Dental Practice – 8.30am to 6pm – Reduced Hours Negotiable
Immediate start available
Salary
Between £13 - £14.50 per hour depending on experience
