THE ROLE
We are seeking an experienced Export Sales Administrator to join our fast-paced Sales Administration team. This is a key role supporting our global export operations, working with customers across more than 35 countries.
The successful candidate will have strong experience in export processes, including shipping methods, Incoterms, and post-Brexit requirements. You will support the Export Sales Manager and take ownership of export orders from receipt through to delivery and after-sales service, ensuring a seamless and high-quality customer experience.
KEY RESPONSIBILITIES
- Process export orders accurately and within agreed timelines, ensuring compliance with customer requirements and country-specific regulations.
- Manage orders end-to-end, from order receipt through to delivery and after-sales support.
- Review incoming orders against system data to ensure alignment with agreed commercial terms and customer requirements.
- Take ownership of assigned orders, proactively resolving issues and ensuring successful completion.
- Handle internal and external queries relating to customer orders in a timely and professional manner.
- Arrange shipments with freight forwarders, including obtaining quotations, negotiating rates, and ensuring cost-effective delivery solutions.
- Liaise with third-party warehouses, logistics providers, and customers to coordinate dispatch and delivery.
- Prepare and manage all export documentation, including commercial invoices, packing lists, certificates of origin, certificates of free sale, BSE certificates, and EUR1 customs documentation.
- Maintain accurate records and ensure all documentation meets regulatory and customer requirements.
- Use commodity codes and tracking systems to support smooth export processes.
- Collaborate with internal teams and provide support during peak periods, demonstrating flexibility and a team-focused approach.
ABOUT YOU
- Proven experience in export sales administration or a similar role.
- Strong understanding of Incoterms, international shipping methods, and post-Brexit export requirements.
- Experience working with freight forwarders and negotiating shipping rates.
- High level of organisation with the ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and accuracy in processing orders and documentation.
- Confident communicator with the ability to liaise effectively with internal teams, customers, and external partners.
- Proactive, solution-oriented, and comfortable working in a fast-paced environment.
About you
- Proven experience in an export sales administration, shipping, logistics or similar international trade role.
- Strong working knowledge of Incoterms, international shipping methods and post‑Brexit export requirements for the UK.
- Excellent attention to detail and accuracy in processing orders and documentation.
- Highly organised, able to manage multiple deadlines and “chase” stakeholders to keep things moving.
- Strong communication skills; comfortable working with internal teams and international customers.
- Proactive, problem-solving mindset and a genuine commitment to delivering outstanding customer service.
- Must be medium to advanced user in exel with working experience of VLookups
