As part of a restructure of our administrative function, we are seeking to appoint a highly capable Administrator to support the delivery of a key contract.
The Role
This role will provide dedicated administrative support to a Contract Manager, ensuring the efficient coordination, processing, and monitoring of works across a live contract.
The successful candidate will be responsible for maintaining control of multiple workstreams, ensuring accuracy of data, and supporting performance through effective organisation and system management. The role requires a proactive individual who is able to manage their own workload and prioritise effectively.
You will report to the Head of Business Operations and play a key role in maintaining service quality and operational efficiency.
Key Responsibilities
- Provide direct administrative support to a Contract Manager, ensuring effective coordination of all contract activity
- Manage shared inboxes and incoming requests, ensuring timely and appropriate action
- Raise, allocate, and schedule reactive and planned works in line with operational requirements
- Maintain accurate and up-to-date records across internal systems, including Workever, and client portals
- Review job documentation, notes, and images to ensure completeness, consistency, and compliance
- Communicate professionally with clients, managing inbound queries and providing clear updates seeking advice and guidance from colleagues where required
- Support contract performance monitoring, including data handling and reporting
- Identify and implement improvements to administrative processes and workflows
- Provide flexible support to the wider operations team as required

Person Specification
Essential:
- Proven experience in an administrative role within a fast-paced environment
- Exceptional attention to detail and a high degree of accuracy in all work
- Ability to manage multiple priorities effectively while maintaining quality
- Strong organisational skills and the ability to self-manage workload
- Proactive approach, with the ability to identify issues and take appropriate action
- Advanced computer literacy, particularly in Microsoft Excel and spreadsheet management
- Ability to clearly demonstrate competence in Excel and data handling
- Strong written and verbal communication skills
- Experience within property maintenance, compliance, or housing sectors
- Experience using job management systems (e.g. Workever)
- Experience providing direct support to a manager or contract
