We are looking for a dedicated Quality and Governance Assistant to join our team at the Yorkshire Ambulance Service NHS Trust. This role is essential in supporting the administrative aspects of our Quality and Governance processes, ensuring smooth and efficient operations.
Administer the Job Evaluation process, overseeing job descriptions from initial submission through matching and consistency panels.
Set up evaluation panels, distribute documentation in advance, and meticulously record all stages of the process in the online system (IJES).
Provide administrative assistance to various Quality and Governance projects, including data collation for Freedom of Information requests, Subject Access Requests, audit checks, governance reporting, and meeting co-ordination.
Act as the primary point of contact for enquiries related to the Job Evaluation queue, providing clear and timely information to managers, panel members, and other stakeholders.
Ensure that all relevant Quality Assurance documentation is submitted alongside Job Descriptions, providing robust feedback where minimum submission requirements have not been met.
Coordinate and distribute documentation for job evaluation panels, liaise with panel members and managers to set up evaluation sessions, and provide regular updates on the status of job evaluations.
Handle information with confidentiality and discretion, following YAS policies, and ensuring compliance with relevant standards.
Support effective collaboration across departments by maintaining strong working relationships with colleagues involved in the job evaluation and wider governance functions.
Assist in coordinating responses to freedom of information requests, collating information from various sources, and ensuring clear and accurate communication with the Legal Services Team.
Facilitate smooth communication and information flow within the team, including setting up and taking notes for meetings when required.
Provide initial HR advice around Quality and Governance issues to colleagues within People Strategy and People Services, and to managers across the organisation, in relation to the Job Evaluation process and policy process for people-centric policies.
Provide additional support for notetaking for hearings and appeals as required and support the People Strategy Team as needed.
