Administration Manager (Part-Time)

Esprit Kids is looking for a friendly, highly organised Administrative Manager to oversee the day-to-day administration that keeps our children's activity programme running smoothly. About the Role
As our Administrative Manager, you'll be at the heart of the business, ensuring our parents, coaches and internal systems are all supported efficiently.
You'll be responsible for customer communications, memberships, payroll administration, financial processing and staff administration, helping to deliver an excellent experience for both our families and our team.
This is a trusted operational role where you'll have ownership of the day-to-day administration while working closely with the Owner and coaching team.
Key Responsibilities
- Be the main point of contact for parent enquiries via email and phone.
- Manage memberships, class changes, trial bookings and new enrolments.
- Process leavers, cancellations and customer account updates.
- Maintain accurate customer records.
- Process payments, refunds and payment tracking.
- Support payroll by collecting staff hours and processing payroll submissions.
- Manage staff holiday records and employment administration.
- Resolve routine customer queries and complaints professionally.
- Maintain accurate and up-to-date Xero records for the company's accountants
- Keep administrative systems organised, accurate and up to date.
- Support the smooth day-to-day running of the business.
We're Looking For Someone Who:
- Has previous administration or office management experience.
- Is highly organised with excellent attention to detail.
- Has excellent communication and customer service skills.
- Can manage multiple priorities and work independently.
- Is trustworthy and able to handle confidential information.
- Is confident using Microsoft Office and learning new systems.
- Enjoys working as part of a small, supportive team.
Hours
12 hours per week
- Monday: 9:00am – 1:00pm
- Tuesday: 9:00am – 1:00pm
- Wednesday: 9:00am – 1:00pm
The successful candidate will also be expected to provide holiday cover for our administration team. This will occasionally include working on Thursdays, Fridays and Saturdays when other administrators are on annual leave. Advance notice will always be given wherever possible.
Pay
£13.00–£15.00 per hour, depending on experience.
