At FM Conway, our Document Controllers play a vital role in keeping our projects running efficiently by ensuring the right information reaches the right people at the right time. From major bridge refurbishments to complex highways and structural improvement schemes, you'll support the successful delivery of some of the South East's most significant infrastructure projects by managing project documentation and information throughout every stage of the project lifecycle.
We're looking for an experienced Document Controller to join our innovative Structures Division, supporting live projects across a diverse portfolio of highways and structural engineering works. Working closely with project managers, engineers, commercial teams, clients and subcontractors, you'll take ownership of project information management, ensuring documentation is accurate, compliant and always up to date. Whether you're controlling drawing revisions, coordinating technical submissions or preparing project handover information, you'll play an essential role in helping our teams deliver projects safely, efficiently and to the highest standards.
As one of our Document Controllers, you will:
- Establish and maintain project information structures, permissions and workflows within Asite, Microsoft SharePoint and Microsoft Teams.
- Manage drawing, document, technical submission and correspondence registers, ensuring information remains accurate and up to date.
- Control document reviews, approvals, revisions, status codes and superseded information throughout the project lifecycle.
- Issue and record formal document transmittals while maintaining a complete audit trail of project correspondence, approvals and key decisions.
- Ensure project teams are always working from the latest approved drawings and documentation.
- Track RFIs, technical submissions, design information, method statements, risk assessments, inspection and test plans and temporary works documentation.
- Monitor outstanding reviews, comments and approvals, proactively following these through to completion.
- Prepare and maintain project records, progress reports, meeting packs and action trackers.
- Coordinate project information between FM Conway, clients, designers, subcontractors and the wider project team.
- Support the preparation of project handover documentation, including health and safety files, ensuring all records are complete and compliant.
- Manage multiple priorities while working independently to support the successful delivery of live infrastructure projects.
What skills and experience do you need?
We're looking for an organised and proactive Document Controller who enjoys working in a fast-paced project environment and takes pride in maintaining accurate, well-managed project information.
Previous document control experience within the construction, civil engineering or infrastructure sectors is essential. You’ll have a proven track record in managing live project documentation and information systems, with excellent attention to detail and the ability to prioritise competing deadlines while working independently.
Experience using Asite, Microsoft SharePoint and Microsoft Teams is highly desirable. However, we will provide internal training to help you develop your knowledge of these systems.
You'll be a confident communicator with strong organisational skills and the ability to build positive working relationships with colleagues, clients, designers and subcontractors. As travel between FM Conway and customer locations may occasionally be required, you'll need a full UK driving licence.
