We work with a variety of clients, including multi-academy schools, facility management companies, community centres, churches, homeowners, and tenants. We are looking for an enthusiastic and organised Sales Administrator to join our team and play a vital role in supporting the smooth operation of our services and delivering an excellent experience for our customers
Key Responsibilities
Customer Service & Communication:
- Build and maintain strong relationships with clients.
- Provide a friendly, professional service to customers, ensuring their needs are met efficiently.
Scheduling & Diary Management:
- Coordinate appointments for scheduled servicing, planned maintenance, and emergency jobs.
- Rearrange the diary as needed to accommodate last-minute emergencies.
Parts Ordering & Identification:
- Order parts for engineers and assist in identifying required parts online when necessary.
- Monitor stock and parts inventory in the office.
Job Monitoring & Reporting:
- Track job progress and ensure all forms and reports are completed accurately by engineers.
- Liaise with the managing director regarding job updates, unresolved issues, and customer feedback.
Office Management:
- Conduct office meetings to keep the team informed and aligned.
- Perform general office administration tasks to maintain a productive workspace.
- Update and implement effective administrative processes to enhance efficiency.
What We’re Looking For
Essential Skills & Experience:
- Proven experience in sales administration or a similar administrative role.
- Excellent communication skills with the ability to build rapport with customers and team members.
- Excellent organisational skills and the ability to manage multiple priorities.
- Proactive problem-solving mindset with attention to detail.
- Competent in using office software and tools for scheduling, reporting, and communication.
Preferred Qualities:
- Experience in the heating and plumbing or a related industry is a plus.
- Ability to stay calm and organised when handling last-minute schedule changes or unexpected challenges.
- A customer-focused attitude with a genuine interest in supporting a family-run business.
