Ross Harper Property Group comprises a number of incorporated companies operating across various areas of the property market, including property development, refurbishment, renovation, estate agency and property auctions.
We are looking for an organised, reliable and detail-focused Administration Assistant to join our team. While this is an administrative role, a significant part of the position involves supporting our property operations and ensuring that property information is accurate, complete and presented to a high standard across our advertising and sales platforms.
Previous experience within the property or estate agency sector would be highly beneficial, although it is not essential, as full training will be provided to the right candidate.
The Role
The successful candidate will play an important role in ensuring our properties are accurately and professionally prepared for marketing, advertising and auction. Attention to detail is particularly important, as you will be responsible for checking and maintaining property information across a number of systems and platforms.
Key Responsibilities
- Adding and maintaining accurate property details on internal systems and ensuring information is kept up to date.
- Preparing and creating property floorplans using Metropix.
- Preparing properties for advertising and ensuring all marketing information is accurate and presented to a high standard.
- Editing property photographs to meet the required advertising standards.
- Adding properties to auction portals and publishing property information accurately.
- Adding open viewing information to relevant websites and systems and keeping details up to date.
- Ordering property For Sale boards and ensuring boards are updated to Sold and collected when required.
- Maintaining and updating spreadsheets and internal records.
- Liaising professionally with colleagues, clients, external contacts and solicitors.
- Dealing with incoming and outgoing post.
- Preparing and issuing invoices.
- Assisting with debt management and maintaining accurate records.
- Assisting with general office and administrative duties as required.
- Attending company masterclasses.
- Taking responsibility for compliance and Anti-Money Laundering (AML) administration, ensuring records remain accurate and up to date.
- Assisting with the implementation of compliance procedures and staff training where required.
- Taking on additional responsibilities as the role develops.
The Ideal Candidate

Experience & Skills
Essential:
- Previous experience in a general administration or administration assistant role.
- Confident and professional telephone manner.
- Good working knowledge of Microsoft Excel, Word and Outlook.
- Excellent written and verbal communication skills.
- Strong organisational and administrative skills.
- A high level of accuracy and attention to detail.
Desirable, but not essential:
- Previous experience within property, estate agency or auctions.
- Experience using Apex property software.
- Experience using Metropix floorplan software.
- Experience with property advertising or property portals.
- Understanding of property compliance and/or AML procedures.
Full in-house training will be provided where required, so we are particularly interested in candidates who demonstrate the right attitude, attention to detail and willingness to learn.
Additional Information
- Salary: £26,000–£28,000 per annum, dependent on experience and suitability for the role.
- Working hours: Monday to Friday, 8:45am–5:30pm, with a 1-hour unpaid lunch break.
- Location: Building 3, 46 Munro Place, Anniesland, Glasgow, G13 2UP.
- Masterclass: Attendance is required approximately every 7 weeks. These sessions take place directly after work and normally finish at approximately 9:30pm.
- Annual leave: 29 days per annum. We ask employees to retain between 4 and 6 days of annual leave for the Christmas closure period. The company remains open on bank holidays, so any bank holidays you wish to take as annual leave should be requested as part of your holiday entitlement.
