Workshop Compliance & Vehicle Sales/Hire Administrator
Pawson Commercials are a family business with a wealth of experience in the maintenance, sales and truck rental market.
We are looking for a HGV Workshop Compliance Administrator to support our existing team. You will assist in managing fleet maintenance records, track statutory safety inspections, and ensure heavy goods vehicles meet strict Driver and Vehicle Standards Agency (DVSA) and Operator Licence regulations.
The successful candidate will work across two sites and provide effective administrative support to the workshop, vehicle hire team and our customers. This is role is 4 x days per week the sslary is pro-rota.
Core Responsibilities include:
- Maintenance Scheduling: Book and track 6-weekly safety inspections, MOTs, and servicing.
- Defect Tracking: Log daily walk-around checks, driver defect reports, and repair sign-offs.
- Audit Preparation: Keep digital and physical maintenance files ready for DVSA audits.
- System Management: Utilise bespoke fleet management software
- Liaison: Coordinate with technicians, workshop managers, and other internal departments across the Group
- Sales & Hire Department: Supporting the sales and hire team with general administration, monitoring and logging vehicles sold/hired and liasing with customers on a national and international basis.
- Invoicing: Raising and processing accurate hire, sales and repair invoices using Sage Line 50
The Ideal Candidate
We are looking for someone who is:
- Highly organised with excellent attention to detail.
- Understanding of DVSA maintenance standards and Operator Licences.
- Strong skills in sage, excel, social media marketing and transport management systems an advantage
- Able to work independently as well as part of a busy team.
- Commercially aware with a good understanding of customer service.
- Reliable, proactive and able to manage multiple tasks and deadlines.
- Previous experience within the commercial vehicle, haulage, transport or automotive industry would be advantageous, although not essential.
