Job Summary
We are seeking a highly organised and professional Flight School Administrative Assistant to join our team. This role involves providing essential administrative support to ensure the smooth operation of the flight training programme. The successful candidate will utilise their office experience, strong organisational skills, and proficiency in various computer applications to manage daily tasks efficiently. This paid position offers an excellent opportunity to develop administrative expertise within the aviation training sector.
Duties
- Manage and maintain student and instructor schedules, ensuring timely updates and communication
- Handle all incoming calls with professional phone etiquette, directing enquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks where applicable
- Assist with enrolment processes, including processing registrations and maintaining student records
- Prepare and distribute correspondence, reports, and training materials as required
- Organise meetings, appointments, and training sessions for staff and students
- Maintain filing systems both electronically and physically to ensure easy retrieval of information
- Support invoicing, billing, and financial record keeping in accordance with organisational procedures
- Provide general clerical support including photocopying, scanning, and organising office supplies
Qualifications
- Proven office experience with a strong understanding of administrative procedures
- Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and QuickBooks
- Strong organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry tasks
- Demonstrated experience in handling phone calls professionally with good etiquette
- Previous clerical or administrative experience within an educational or training environment is desirable
- Ability to work independently as well as part of a team in a fast-paced setting
- Attention to detail and high levels of organisation are essential for success in this role
- This is a non-flying role, candidates do not need an aviation background
Pay: Up to £28,000.00 per year
