The Role
As the Referrals and Administration Officer, you'll be at the heart of our operations, acting as the first point of contact for incoming referrals while providing high-quality administrative support across the organisation.
You'll work closely with senior managers, Registered Managers, local authorities, contractors, and external professionals to ensure our systems remain organised, efficient, and inspection-ready.
Key Responsibilities
You'll be responsible for:
- Managing and processing incoming placement referrals, ensuring information is complete and accurately recorded.
- Providing comprehensive administrative support to senior leadership and operational managers.
- Maintaining electronic records, databases, trackers, and filing systems.
- Supporting monthly payroll administration by collating and checking timesheets.
- Overseeing the staff clocking-in and attendance system, identifying and resolving discrepancies.
- Coordinating maintenance requests, arranging contractors, and monitoring repairs through to completion.
- Purchasing equipment and supplies, processing purchase orders, and maintaining accurate financial records.
- Supporting compliance activities, preparing documentation for audits and inspections, and maintaining compliance trackers.
- Producing reports, meeting minutes, presentations, and management information.
- Delivering excellent customer service to colleagues, local authorities, and external stakeholders.
About You
We're looking for someone who is highly organised, motivated, and able to manage multiple priorities with confidence.
Essential
- Previous experience in an administrative role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to prioritise workloads and meet deadlines.
- Competent in Microsoft Word, Excel, and Outlook.
- Experience maintaining databases and electronic records.
- Ability to work independently and collaboratively.
- Professional approach to handling confidential information.
- Full UK Driving Licence and access to your own vehicle.
Desirable
- Experience within children's residential care, social care, or healthcare.
- Knowledge of Ofsted regulations.
- Payroll administration experience.
- Experience coordinating maintenance or facilities.
- Experience processing referrals or admissions.
- Knowledge of GDPR and safeguarding principles.
