Executive Assistant to the Managing Director
About the Role
Bluebell Care Group Ltd is a growing family-run organisation operating across the care and property sectors, including care facilities and HMO properties.
We are looking for a highly organised, professional and proactive Executive Assistant to the Directors to become a trusted and important part of our business.
This is a varied role with real responsibility from the start. Your primary purpose will be to take ownership of the day-to-day administration, communications and business support that would otherwise require the Directors' time, allowing them to focus on managing and growing the business.
You will gain broad exposure across operations, accounts, HR, compliance, property and care administration, with increasing responsibility as your knowledge of the business develops.
We are looking for someone who doesn't simply pass problems on. You should be confident using your initiative, finding solutions, following matters through and making sure things get done.
What You'll Be Doing
- Managing and responding to emails and correspondence on behalf of the Directors
- Managing incoming calls professionally, screening enquiries, resolving routine matters and escalating where appropriate
- Communicating confidently and professionally with members of the public, residents, families, clients and other external contacts
- Liaising with councils, local authorities, accountants, suppliers, contractors and other professionals
- Managing diaries, appointments, meetings, reminders and important deadlines
- Attending management meetings, taking accurate minutes and tracking agreed actions through to completion
- Drafting professional emails, letters and other business correspondence
- Maintaining organised digital and physical filing systems, company records and documentation
- Assisting with invoices, expenses, payments, billing and general financial administration
- Liaising with accountants and supporting basic accounts/bookkeeping administration where required
- Supporting HR administration, recruitment, onboarding and employee documentation
- Maintaining important company deadlines, renewals, documentation and compliance records
- Preparing simple reports and summaries for the Directors
- Supporting administration across our care facilities and HMO/property operations
- Following up outstanding invoices, payments, paperwork, emails, calls and actions
- Helping improve office systems, processes and record keeping
- Using technology, software and AI tools where appropriate to improve administrative efficiency
- Handling confidential and sensitive company, financial and employee information with discretion
- Anticipating what needs attention, prioritising effectively and taking action without requiring constant direction
- Taking ownership of routine day-to-day matters and only escalating issues that genuinely require Director involvement
As you learn the business, we would expect you to take increasing ownership of defined areas of work and become a key point of contact across the organisation.

Essential Requirements
- Minimum 1 year's relevant professional experience within Executive Assistance, PA, Accounts, Finance, HR, Office Management, Administration or a similar professional environment
- Excellent organisational and time-management skills
- Strong written and verbal communication skills
- Professional and confident telephone manner
- Excellent attention to detail
- Confidence communicating with members of the public and external professionals
- Ability to manage multiple priorities and deadlines in a busy environment
- Comfortable dealing with invoices, payments and financial paperwork
- Confident using Microsoft Office, email and general business systems
- Ability to learn new software and systems quickly
- Good judgement and problem-solving skills
- Ability to handle confidential information professionally and discreetly
- Ability to anticipate what needs doing and use initiative
- A proactive approach with the ability to take ownership of tasks and see them through to completion
Previous experience within accounts, HR, bookkeeping, property, HMOs, healthcare or the care sector would be advantageous but is not essential.
We are equally interested in candidates from other professional backgrounds who have strong transferable skills and are keen to learn how the wider business operates.

You should be self-motivated, adaptable and solution-focused, with the confidence to make sensible decisions and the judgement to know when something genuinely needs to be escalated.
Most importantly, we're looking for someone with a “leave it with me, I'll get it sorted” attitude.
If paperwork needs chasing, you chase it. If an invoice needs resolving, you find out what is happening. If someone needs contacting, you contact them. If a deadline is approaching, you make sure it isn't forgotten.
