We are a growing dairy manufacturing business committed to producing high quality dairy products for customers across the UK. As part of our continued growth, we are looking for an organised and proactive Administration & Procurement Coordinator to support our purchasing, production and office administration functions.
The Opportunity
This is a varied role that will suit someone who enjoys working across multiply areas of the business, ensuring materials are available for production, orders are processed accurately, and administrative processes run smoothly.
The Role
You will be responsible for supporting procurement activities, processing purchase orders and invoices, coordinating with suppliers, and providing general administrative support to the manufacturing and commercial teams.
Key Responsibilities will include:
Procurement & Supplier Management
- Raise and manage purchase orders for raw materials, ingredients, packaging, consumables, and services.
- Obtain supplier quotations and support supplier selection activities.
- Liaise with suppliers regarding orders, deliveries, pricing and availability.
- Monitor stock levels and support inventory replenishment to ensure uninterrupted production.
- Maintain accurate supplier records and procurement documentation.
- Assist with supplier performance monitoring and issue resolution.
Order & Invoice Processing
- Process purchase orders and goods receipts accurately and in a timely manner.
- Match supplier invoices against purchase orders and delivery documentation.
- Investigate and resolve invoice discrepancies and supplier queries.
- Prepare invoices for approval and payment processing.
- Maintain accurate purchasing and financial records within company systems.
Administration & Operational Support
- Provide day-to-day administrative support to the manufacturing and management teams.
- Maintain filing systems, production records and operational documentation.
- Assist with data entry, reporting and KPI tracking.
- Support audits by ensuring documentation is complete and up to date.
- Coordinate office supplies, service providers, and general administrative requirements.
- Assist with customer order administration and logistics coordination where required.
About You
The successful candidate will have:
- Previous experience in administration, procurement, purchasing, supply chain, or similar office based role.
- Experience processing orders, purchase orders and supplier invoices.
- Strong organisational skills and excellent attention to detail.
- Good numerical and data-entry accuracy.
- Proficiency in Microsoft Office, particularly Excel.
- Experience using Sage Line 50.
- Excellent communication skills and the ability to build positive relationships with suppliers and colleagues.
- The ability to manage multiple priorities in a busy manufacturing environment.
Desirable Experience:
- Experience working within food, dairy, FMCG, or manufacturing environments.
- Understanding of stock control, inventory management, or production planning processes.
