We are seeking an organised and proactive Administration Assistant to provide administrative support across the business. The successful candidate will be responsible for managing day-to-day office administration, processing customer sales orders, coordinating purchasing activities, and ensuring accurate record-keeping. This role requires excellent organisational skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Key Responsibilities
Administration
- Provide general administrative support to the office and wider team.
- Answer telephone calls and respond to emails professionally.
- Maintain accurate filing systems and company records.
Sales Order Processing
- Process customer sales orders accurately and efficiently.
- Enter orders into the company's accounting system.
- Verify pricing, product availability, and delivery requirements.
- Liaise with customers regarding order status, delivery schedules, and queries.
- Prepare delivery notes and supporting documentation.
- Distribute delivery notes and supporting documentation to relevant departments to ensure timely dispatch.
Purchasing
- Raise purchase orders in line with company procedures.
- Source products and obtain supplier quotations where required.
- Liaise with suppliers regarding pricing, availability, and delivery schedules.
- Monitor outstanding purchase orders and follow up on overdue deliveries.
- Maintain purchasing documentation and recording deliveries in company’s accounting system.
- Support inventory management by monitoring stock levels and reordering as required.
General Duties
- Ensure all administrative records are accurate and up to date.
- Maintain confidentiality of company information.
- Assist with continuous improvement of administrative processes.
- Support other departments as required.
- Comply with company policies and health and safety procedures.
Skills and Experience
Essential
- Previous experience in an administrative role.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritise workload and meet deadlines.
Desirable
- Experience processing sales orders and purchase orders.
- Experience in purchasing or procurement.
- Knowledge of stock control and inventory management.
- Experience using Sage 50 Accounts.

Working Hours
39 hours per week
Monday – Thursday 7:30am – 4:30pm
Friday 7:30am – 3:30pm
With 1 hour lunch break each day.
Pay: £26,000.00-£27,500.00 per year
