Overview:
The Administrative Assistant plays a key role in supporting the smooth and efficient operation of administrative, financial, and data management processes. This position involves regular coordination across systems, maintaining accurate records, and providing general support to management.
Key Responsibilities:
· Account Administration & Processing
- Conduct weekly reviews of account application and new orders.
- Process applications in accordance with internal procedures
- Maintain up to date physical and digital filing systems
- Print and file new participant details as required
- Manage and maintain database records
- Process new registrations, participant amendments, and retirements.
· Financial Administration
- Generate and review weekly paid invoices reports
- Accurately update records and mark invoices as paid within the Certus system
- Run weekly financial reports via Sage and update payment statuses accordingly
- Monitor outstanding payments and liaise with relevant participants to track unpaid invoices.
- Reconcile monthly bank statements
- Process credit card payments
- Print and retain payment documentation for records and auditing purposes.
- Perform data entry tasks within Sage.
- Process Chorus system entries.
· General Administrative Support
- Monitor and manage email inbox
- Provide day-to-day administrative support to management as required
- Assist with co-ordination of potential sample shipments
- Manage DHL updates and logistics tracking
Skills required:
· A highly motivated and well organised individual.
· Excellent communication skills and professionalism in order to liaise with participants and our colleagues with NEQAS.
· The ability to work under pressure and attention to detail.
· A methodical and flexible approach.
· Computer literacy.
Skills preferred:
· Working knowledge and experience with Microsoft Word, Excel and Outlook software.
· Previous experience using Sage 50 Accounts.
Pay: £14.00 per hour
