Overview
We are seeking a highly organised, proactive, and well-mannered Office Administrator / Sales Coordinator to join our busy team at Star Multifuels.
The successful candidate will play a key role in the day-to-day running of the business, including processing customer orders, supporting logistics, and ensuring smooth communication between the office, drivers, and yard. This is a fast-paced role where teamwork, strong customer service, and attention to detail are essential.
This position offers an excellent opportunity for someone looking to develop a long-term career within a growing, family-run business. Office hours are 8am until 5pm
Responsibilities
- Taking and processing customer orders over the phone and online
- Providing excellent customer service in a polite, professional, and friendly manner
- Managing and maintaining accurate customer and order records
- Processing payments and assisting with invoicing
- Assisting with wages and basic payroll duties
- Planning and routing delivery vehicles efficiently
- Liaising daily with drivers, yard staff, and management to ensure smooth operations
- Managing emails, calls, and general office communications
- Updating spreadsheets, systems, and filing (digital and paper records)
- Supporting stock control and delivery scheduling
- Assisting with general office administration and day-to-day operational tasks
- Working closely with the team to ensure all customers are looked after, especially during busy periods
Requirements
- Previous experience in an administrative, office, or customer service role preferred (but not essential)
- Strong computer literacy and confidence using office systems
- Good working knowledge of Microsoft Office (Word, Excel, Outlook)
- Experience with accounting software (Xero) or CRM systems is advantageous
- Excellent communication skills with a strong focus on customer service and manners
- Highly organised with strong attention to detail
- Ability to work under pressure and manage multiple tasks
- Good time management and problem-solving skills
- A positive attitude and ability to work both independently and as part of a team
