What are we looking for?
The CodeBase Operations team manages finance, HR, IT, legal, health and safety, and office requirements for the wider CodeBase team. We’re looking for an assistant to support the operations and events at our Stirling Hub.
You’ll be an all rounder, who is comfortable working through administrative tasks, but also occasionally shifting furniture and sorting out cabling. As you’ll be one of the first people that visitors to the hub see, you’ll have excellent people skills and will genuinely enjoy working with people.
We are passionate about delivering first class events and ensuring attendees have a first rate experience, seeing this role as integral in helping to support the tech startup community. We’re looking for someone who understands the organisation and administration required to support events.
What will you be doing?
Act as the face of our Stirling workspace, managing day-to-day front-of-house operations while providing essential logistical and administrative support for regional and on-site events.
Front-of-House & Stirling Workspace Operations
- Serve as the welcoming first point of contact for founders, hotdeskers and visitors. Manage guest passes and ensure all visitors register via our sign-in system.
- Conduct regular walkarounds to maintain clean, tidy, and welcoming hot-desking/co-working areas, meeting rooms, and communal kitchens.
- Welcome new hot-deskers, guide them through the workspace, and process payments securely using our digital card payment systems.
- Manage the Stirling team's shared inbox, responding to initial booking and space inquiries, and routing specialised emails to the right team members.
- Provide general administrative and operational support to the wider team as required to ensure the smooth running of the workspace.
Event Coordination & Logistics Support
- Supporting on events administration and delivery in Stirling and across wider Scotland activity
- Lead the physical setup and set-down of Stirling's event spaces, including rearranging tables and chairs for various layouts.
- Maintain, set up, and test all on-site AV equipment, including hybrid event kits, projectors, screens, and PA systems.
- Coordinate catering orders and liaise with local suppliers and speakers to prepare for recurring and one-off regional events.
- Be the point of contact for founders during events, welcoming them, ensuring their needs are met, and collecting feedback to assist with future planning.
Community Engagement & Regional Connection
- Conduct friendly drop-ins with Stirling tenant companies and founders to gather feedback, build relationships, and understand how to improve their workspace experience.
- Actively support Stirling's core recurring meetups, such as monthly founder events, digital skills workshops, and tenant social gatherings.
- Work flexibly to facilitate occasional out-of-hours events, adjusting your daily working window to ensure events are fully supported.
What do we need from you?
- Experience in supporting events (including online, in-person and hybrid)
- A warm, highly communicative in-person presence. You genuinely enjoy helping people, especially founders, and thrive in customer-facing environments.
- Strong administrative capabilities. You are comfortable tracking details like maintenance tickets, booking forms, and basic equipment inventories.
- Comfortable with digital platforms such as Google Workspace
- Ability to set up and operate basic AV equipment
- Comfortable with the physical aspects of the role, including moving and arranging event furniture and AV equipment.
- Collaborative attitude, able to work well across teams to support founder-focussed delivery

- Experience with using technology for hybrid events

About the job
Work Days: This role is 35 hours a week over 5 days, usually between 8:45am - 5:15pm (part-time/job share applications will also be considered). Please note that a flexible approach to working hours is required from time to time to accommodate events, with start and end times adjusted accordingly.
Location: Stirling, with occasional need to support events in other locations
Desired Start Date: ASAP
Contract: Fixed Term until October 2027
