Job Title: Junior Office Administrator
Reports To: Operations Manager

Job Purpose
The Junior Office Administrator plays a key role in supporting the smooth day-to-day operation of the business by providing administrative support across the Sales, Service, Spares and Accounts departments. This is a varied role requiring excellent organisational skills, attention to detail and the ability to manage multiple tasks while working with colleagues across the business.
The successful candidate will be flexible, articulate, reliable and proactive in their approach to supporting all departments within the business.
Key Responsibilities
General Office Administration
- Support day-to-day office administration, including telephone enquiries, filing and document management.
- Support company vehicle administration, office services and supplier arrangements.
- Maintain office supplies, uniforms and stationery requirements.
- Support Health & Safety activities, including fire alarm testing and first aid supplies.
- Assist with company events, exhibitions and other administrative tasks as required.
Accounts, Sales, Service & Spares Support
- Raise customer invoices, maintain customer stop lists and financial records, prepare monthly statements and assist with month-end administration.
- Provide administrative cover across Accounts, Sales, Service and Spares departments as required.
- Support sales administration including quotations, reports and customer enquiries as required.
- Assist Service operations with reports, engineer travel arrangements, accommodation bookings and service management systems as required.
- Support Spares administration including order processing, stock updates, shipments and courier arrangements as required.
Person Specification
Essential
- Previous experience in an administrative or office support role.
- Strong organisational skills with the ability to prioritise tasks and meet deadlines.
- Excellent attention to detail and accuracy.
- Good communication skills with a confident telephone manner.
- Proficient in Microsoft Office, particularly Outlook, Word and Excel.
- Ability to work independently and as part of a team.
- Flexible approach with the ability to support all departments.
Desirable
- AAT Level 2 Certificate in Accounting (or equivalent)
- Experience in invoicing or finance administration.
- Experience using Sage accounting software and/or service management systems.
- Experience with travel bookings and expense administration.
