About the role
At Essential Funerals, we understand that families need compassionate support, clear communication and dependable organisation at one of the most difficult times in their lives.
We are looking for a Family Care Coordinator to provide day-to-day administrative and coordination support to families following their initial arrangement meeting with the Funeral Director. You will help ensure every agreed detail is accurately recorded, booked and communicated, while keeping families informed and reassured throughout the funeral process.
Working closely with our Funeral Director, crematorium, and mortuary staff, care providers and other professional partners, you will play a key role in making sure each funeral runs smoothly and with the care and attention to detail our families expect.
Key responsibilities
- Act as a friendly, professional day-to-day point of contact for families.
- Guide families through the practical and administrative aspects of the funeral process.
- Coordinate agreed funeral arrangements.
- Make and confirm bookings with our crematorium, suppliers and other partners.
- Liaise with hospitals, hospices, care homes, registrars and other relevant organisations.
- Provide registration guidance and support with statutory paperwork.
- Track outstanding actions, documentation and deadlines to ensure everything is completed on time.
- Prepare accurate funeral documentation, estimates, invoices and confirmations.
- Maintain accurate electronic and paper records while handling sensitive information with complete confidentiality.
- Coordinate ashes collection, return and memorial arrangements where required.
- Work closely with the Funeral Director, escalating complex, sensitive or significant matters when professional input is needed.
About You
We are looking for someone who is highly organised, compassionate and naturally detail-oriented, with the confidence to communicate with families and a wide range of professional contacts.
You will ideally have:
- Excellent organisational and administrative skills.
- Strong attention to detail and the ability to manage multiple tasks and deadlines.
- A calm, compassionate and professional manner.
- Excellent written and verbal communication skills.
- The ability to handle sensitive and confidential information appropriately.
- Confidence communicating with people by telephone, email and in person.
- Good IT and record-keeping skills.
- The ability to work independently while being a supportive team player.
- Good judgement and the confidence to recognise when an issue needs to be escalated to the Funeral Director.
Experience within funeral services, healthcare, care services, administration or another sensitive customer-facing environment would be advantageous, but a compassionate attitude, strong organisational skills and willingness to learn are equally important.
