A rare opportunity for a bright, capable graduate with a year or two of experience to work directly with the owner of a privately held property and private equity group, from a beautiful period townhouse in the heart of Mayfair.
About us
22 Gilbert Street is a refurbished Mayfair townhouse owned by a private high net worth family and let across six floors to a range of businesses. It sits alongside a wider private equity and property group investing across real estate, human capital and other sectors.
We are privately owned and deliberately small. Decisions get made quickly, the people making them are in the building, and there is very little distance between doing good work and being noticed for it.
The role
This is a genuinely dual role, roughly half and half.
Half your time is spent as the face of the building — welcoming tenants, visitors and guests, running an immaculate reception, and making sure the experience of walking through our front door matches the address.
The other half is spent as private PA to the owner and his family: travel and holidays, restaurants and tickets, cars and transfers, insurances and renewals, medical and personal appointments, guest arrangements, and making sure the day-to-day details are simply handled without needing to be asked.
It is a role where common sense counts for more than instruction. We want someone clever, versatile and genuinely proactive — the sort of person who spots what has been missed, works out the sensible answer, and takes ownership of it.
What you'll be doing
Front of house:
- First point of contact for tenants, visitors, contractors and deliveries
- Running reception, meeting room bookings, the visitor log and building diary
- Keeping reception and common areas immaculate at all times
- Managing post, couriers, building consumables and the access fob register
Private PA support to the owner and family:
- Diary and inbox management, covering business and personal commitments
- Booking UK and international travel and family holidays end to end — flights, hotels, transfers, private cars, villas and full itineraries
- Arranging restaurants, events, tickets, members' club bookings, cars and drivers
- Managing insurance renewals across travel, motor, home and medical, and keeping records current
- Booking medical, dental and personal appointments for the family, with complete discretion
- Looking after the owner day to day, including refreshments, lunches and hospitality
- Hosting guests of the family and the business, and arranging their travel and accommodation
- Preparing and proofreading documents and correspondence; research, expenses and invoice administration
Building and tenant support:
- Building strong relationships with tenants across the building
- Daily walk-round of common areas, logging maintenance issues and following them through with the managing agent
- Supporting health and safety compliance and maintaining building records
About you
- Degree educated, 2:1 or above preferred, in any discipline
- At least 12 months' experience in an administrative, PA, office or client-facing role (substantial placements and internships count)
- Exceptional common sense and judgement — able to work out the sensible answer without being told, and to know when to ask
- Genuinely proactive; you anticipate what's needed rather than waiting to be asked
- Versatile, and comfortable moving between reception, private PA work and building administration in the same day
- Excellent written and spoken English, with real attention to detail
- Highly organised, and calm when several things land at once
- Confident across Outlook, Word, Excel and PowerPoint
- Discretion and absolute integrity — you will see confidential business, financial and personal information from day one
- Smart, polished presentation appropriate to a prime Mayfair address
- Serious about building a career, and ambitious to take on more over time
Experience supporting a private individual, family office or senior executive is an advantage, as is a background in property, financial or professional services, luxury retail or five-star hospitality. Attitude and judgement matter more.
What we offer
- £28,000 to £32,000 depending on experience, reviewed at 12 months
- 25 days' holiday plus bank holidays

- Formal reviews at 3, 6 and 12 months, and a clear route towards Executive Assistant, Private PA, or Office and Building Manager roles
- Support towards a relevant professional qualification once you are established
Hours and location
Permanent, full time. 8.30am to 5.30pm (required to work outside of working hours as and when required), Monday to Friday, on site at 22 Gilbert Street, Mayfair, London W1K 5HD. Bond Street station is a two-minute walk. This role is fully office-based.
