Job Summary
We are seeking a compassionate, organised, and proactive Care Coordinator to join our team. The successful candidate will play a key role in ensuring the effective delivery of high-quality care services by coordinating care staff schedules, supporting recruitment activities, maintaining accurate records, and acting as a central point of communication between service users, families, care staff, and healthcare professionals.

Key Responsibilities
Care Coordination & Scheduling
- Coordinate and manage staff rotas to ensure efficient and effective service delivery.
- Allocate care staff to service users according to care requirements, skills, and availability.
- Monitor staffing levels and respond promptly to changes in care needs, staff availability, and emergency situations.
- Ensure all care visits are covered and delivered in line with agreed care plans.
Recruitment & Onboarding
- Support recruitment activities, including advertising vacancies, screening applications, and arranging interviews.
- Assist with onboarding new employees and ensure all required documentation is completed.
- Maintain recruitment records and support compliance with safer recruitment practices.
Communication & Relationship Management
- Liaise regularly with service users, families, healthcare professionals, and care staff to ensure effective communication and continuity of care.
- Address queries, concerns, and service issues in a professional and timely manner.
- Build positive working relationships with all stakeholders.
Administration & Compliance
- Maintain accurate and up-to-date records, care schedules, and personnel files.
- Ensure compliance with company policies, procedures, and regulatory requirements.
- Support audits, inspections, and quality assurance activities.
- Prepare reports and management information as required.
Team Support
- Provide administrative support to the management team.
- Assist in monitoring staff performance, attendance, and training compliance.
- Support continuous improvement initiatives to enhance service quality and operational efficiency.
Person Specification
Essential Requirements
- Previous experience in a Care Coordinator, Scheduler, Care Administrator, or similar healthcare administration role.
- Strong organisational and time-management skills with the ability to prioritise competing demands.
- Excellent communication and interpersonal skills.
- Experience using rostering or scheduling systems.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to work effectively under pressure and manage multiple priorities.
- High level of accuracy and attention to detail.
Desirable Requirements
- Knowledge of the health and social care sector.
- Understanding of care regulations and compliance requirements.
- Experience working within domiciliary care, supported living, or healthcare services.
- NVQ/QCF Level 3 in Health and Social Care or equivalent qualification.
