Vacancy: Temporary Fleet Administrator (3 month contract initially)
Based at: Scunthorpe or West Drayton.
Hours of Work: Full time, Monday to Friday 08:30-17:00 with 30mins for lunch (40hrs per week)
Salary: up to £30,000 PA (dependant on experience and to be discussed at interview stage)
The successful candidate would be subject to a 3 month probationary period.

Role Overview:
The Fleet Co-ordinator will be responsible for providing administrative support to the fleet and operational teams. This role ensures that all administrative tasks are completed accurately and efficiently, supporting the smooth operation of the fleet functions in the East and West. The Fleet Co-ordinator will manage records, coordinate maintenance schedules, and assist with compliance and reporting.
Key Responsibilities:
Administrative Support:
Provide general administrative support to the fleet management teams.
Manage the shared fleet mailbox’s, handling enquiries, transfers and off-hire requests.
Support and liaise East and West fleet leads.
Record Keeping and Documentation:
Maintain accurate records of fleet operations, including maintenance logs, compliance documentation & incident reports.
Ensure all operator licence documentation complies with regulatory requirements and company policies.
Full administration of the PCN’S, NOIPS and other related direct charges in line with the recharge policy.
Administer the hire and disposal of fuel cards in line with the fuel card policy.
Maintenance Coordination:
Assist in scheduling and coordinating maintenance and servicing of vehicles in alliance with suppliers and East and West fleet leads.
Monitor maintenance schedules and ensure timely completion of all required tasks.
Liaise with maintenance providers and suppliers to arrange repairs and servicing.
Compliance and Safety:
Ensure compliance with health and safety regulations within the fleet operations.
Conduct regular safety audits and implement corrective actions as needed.
Provide training and support to staff on compliance and safety-related matters.
Monitor daily the samsara safety inbox ensuring operations teams are aware of any training needs and/or investigations.
Communication and Coordination:
Serve as one of the points of contact for internal and external communications related to fleet operations.
Coordinate with various departments to ensure seamless operations and information flow between areas.
Qualifications and Skills:
Ideally a minimum of 3 years of experience in administrative roles within a fleet management setting.
Strong knowledge of office administration and management practices.
Excellent organisational and time-management skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite and office management software.
Ability to work independently and as part of a team.
Knowledge of health and safety regulations and compliance standards.
Financial administration skills, including budgeting and expense control.
