Job Summary
Jane Wetherops are a Leeds Based family run Property management company and we have been managing rental properties for over 35 years and due to continued growth we are looking to recruit a part time and a full time letting negotiator to work in our busy office In Leeds.(Office open Monday to Friday no weekend working) Salary from £13.45per hour - £16.00 per hour depending on experience Full & part time positions available.
Some experience desirable but not essential – common sense, computer literacy and an interest in property is required.
We are seeking a proactive and detail-oriented Lettings Administrator to join our dynamic property management team. In this vital role, you will be the first point of contact for prospective tenants and landlords, managing rental inquiries, coordinating viewings, and ensuring smooth administrative processes. Your energetic approach and excellent organizational skills will help drive successful lettings operations, providing exceptional service and support throughout the rental journey. Responsibilities
- Handle incoming phone calls with professionalism and courtesy, providing clear information about available properties and rental procedures
- Manage property listings and update the Focus property management system accurately with current data on available units, tenant details, and lease information
- Coordinate property viewings by scheduling appointments, preparing properties, and following up with prospective tenants
- Assist in preparing tenancy documentation, and other relevant paperwork ensuring compliance with company policies
- Conduct data entry tasks efficiently to maintain accurate records of tenant applications, inquiries, and correspondence
- Support upselling efforts by promoting additional services or rental options to prospective tenants during interactions
- Maintain organized files and records of all communication, appointments, and transactions related to lettings activities
Experience
- Previous office experience demonstrating strong organizational and administrative skills
- Familiarity with property management software such as Focus or similar platforms is highly desirable but not essential
- Proven experience in data entry and maintaining detailed records in a fast-paced environment
- Excellent phone etiquette with the ability to communicate clearly and professionally at all times
- Experience in customer service or sales roles that involved upselling or promoting services is a plus
- Strong attention to detail combined with the ability to multitask effectively in a busy setting
