About the role

Balfour Beatty Power Transmission & Distribution (T&D) is seeking a highly organised and proactive Project Administrator to join our team based at the BTNO Project Office in Assington.
Working as part of a multidisciplinary project team, you will play a key role in supporting the successful delivery of substation and infrastructure projects by providing comprehensive administrative and coordination support to the Project Management, Engineering, and Design teams.
You will act as a central point of contact, ensuring that project processes run efficiently and that communication between internal stakeholders and our client is managed professionally and effectively
What you'll be doing
- Allocate and manage transport costs, including reviewing fleet reports and
timesheets, charging vehicles to projects, completing transport journals, and
submitting journals via the finance portal for approval.
- Manage vehicle-related charges, including Dart Charge and London Congestion
Charge payments.
- Process procurement and financial transactions, including P-Card receipt
processing, purchase order receipting (GRN), and supporting site teams with
PO and receipting queries.
- Coordinate plant management activities, including raising plant orders, off-hiring plant, issuing weekly plant sheets to engineers, and monitoring internal plant usage.
- Arrange logistics and operational support services, including booking hotels and
trains, ordering HIABs and specialist transport, and arranging skips and waste
collection services.
- Source materials and suppliers as required, including use of the R12 E-
Catalogue.
- Maintain document control and audit records, including management of
evidence files and supporting audit requirements such as RISQS preparation.
- Provide project-specific administrative support, including support to major
projects (e.g. LPT2).
- Manage training administration, including new starter and role change setup,
training demand forecasting, training bookings, maintenance of the training
matrix, and tracking of training expiry and compliance.
- Maintain compliance registers, including tracking calibrated equipment (gas and
electrical).
- Produce and distribute weekly reports (e.g. P T and D reports).
- Support facility management and general site administration activities as
required.

The following qualities/experience are essential:
- Experience in working in a busy office
- Experience in prioritising own work and of allocating and checking work
- Highly organised and able to work on own initiative
- Strong communicator able to communicate confidently with all level of colleagues within the business
- Excellent team working skills and able to build relationships at all levels
- Ability to work well under pressure and to tight timescales
- Very strong customer focus
- Excellent typing skills and IT Skills including Microsoft Office (Excel, Word and PowerPoint) and open minded to learning new software’s and rolling out new systems where required
