Electrical Project Coordinator

The Role
We are looking for an organised and proactive Electrical Project Coordinator to join our team at our Hillington office in Glasgow.
We specialise in high-quality electrical fit-out projects across commercial offices, warehouses, hospitals, schools and other commercial environments.
Working closely with our Contracts Manager, you will take ownership of the administrative and documentation side of our projects from initial set-up through to final handover.
The purpose of this role is simple: to keep every project organised, documented and up to date, allowing our Contracts Manager to spend more time managing projects, clients and site teams rather than office administration.
This would suit someone who is extremely organised, enjoys creating order, takes pride in keeping accurate records and is comfortable managing documentation across several live projects at the same time.
Key Responsibilities
You will assist the Contracts Manager with all project documentation from project award through to completion, including:
- Setting up and maintaining project folders within our shared filing system
- Ensuring all project information is filed correctly and easily accessible
- Maintaining up-to-date project records throughout the life of each contract
- Managing incoming and outgoing drawings, specifications and revisions
- Keeping drawing registers and other project trackers up to date
- Organising client, consultant and subcontractor correspondence
- Recording and filing project instructions and variations
- Assisting with RFIs, technical submissions and other project documentation
- Maintaining records of orders, deliveries and relevant project information
- Collating information from site teams and ensuring records are returned and filed
- Assisting with project programmes, meeting information and progress records where required
- Preparing and maintaining documentation required for project completion
- Collating commissioning certificates, test information, as-built drawings and other handover information
- Assisting with the preparation of O&M manuals and final handover packs
- Monitoring outstanding documentation and chasing information where required
- Providing general day-to-day administrative support to the Contracts Manager
- Helping ensure that nothing is missed as projects progress from start to finish
About You
We are looking for someone who is:
- Highly organised and methodical
- Excellent at maintaining accurate records
- Comfortable managing several projects and priorities at once
- Confident using Microsoft Office, particularly Outlook, Word and Excel
- Comfortable working with shared electronic filing systems
- Able to communicate confidently with clients, suppliers, subcontractors and site teams
- Proactive and willing to chase information rather than waiting to be asked
- Detail-focused and able to spot missing or outdated information
- Capable of taking ownership of their workload and seeing tasks through to completion
Previous experience within electrical contracting, M&E, construction or commercial fit-out would be advantageous, particularly if you are already familiar with construction drawings and project documentation.
However, attitude, organisation and attention to detail are just as important. We are looking for someone who can become the Contracts Manager's go-to person for the office and documentation side of every project.

The successful candidate will therefore have exposure to a varied portfolio of projects rather than carrying out repetitive administration for one type of contract.
