Dental Lab Administrator / Case CoordinatorOverview
We are looking for a highly organised and confident Dental Lab Administrator / Case Coordinator to join our growing dental laboratory.
This is primarily an administrative and coordination role. You do not need to be a dental technician. We are looking for someone who is switched on, organised, reliable and comfortable communicating with dentists, suppliers, couriers and our internal laboratory team.
You will play an important role in making sure cases move smoothly through the laboratory, dentists are kept updated, supplies arrive when needed and completed work is correctly organised and dispatched.
Key Responsibilities
- Communicating with dentists and dental practices regarding their laboratory cases
- Keeping dentists updated on case progress, queries and expected completion dates
- Answering telephone calls, emails and messages from dental practices
- Liaising with suppliers and placing orders for materials, components and other laboratory supplies
- Monitoring outstanding orders and chasing suppliers when required
- Organising incoming and outgoing postage and courier collections
- Preparing completed dental cases for dispatch and ensuring they are sent to the correct practice
- Tracking deliveries and resolving delayed, missing or incorrect shipments
- Receiving incoming cases and ensuring all relevant information has been provided
- Coordinating with dental technicians to understand the status and requirements of cases
- Keeping case records and administrative systems accurate and up to date
- Identifying problems early and taking responsibility for getting them resolved
- Helping organise the general day-to-day running of a busy dental laboratory
What We're Looking For
You do not need previous dental laboratory experience. Full training can be provided.
More importantly, we are looking for someone who:
- Is exceptionally organised and has good attention to detail
- Communicates confidently and professionally over the phone and by email
- Is comfortable speaking with dentists, suppliers and other professionals
- Can manage multiple tasks without forgetting important details
- Takes ownership of problems rather than waiting for someone else to deal with them
- Is confident using computers and learning new systems
- Can prioritise when several things need attention at the same time
- Is reliable, punctual and able to work independently
- Has good written and spoken English
- Remains calm and professional in a busy environment
Previous experience in administration, logistics, customer service, healthcare, dental practices, laboratories or a similar coordination role would be beneficial, but is not essential.
The Role
This would suit someone who enjoys being at the centre of an operation and making sure everything runs properly.
One minute you may be speaking to a dentist about an upcoming case, the next you could be chasing a supplier for an urgent component, arranging a courier collection or checking with a technician that a case will be ready for dispatch.
