Part-Time Office Administrator

We are looking for a highly motivated and enthusiastic Office Administrator to join our team.
This is a Monday and Tuesday office-based role, 9:00am–4:30pm, where you will be based within one of our care services, providing essential administrative support to the service team.
The successful candidate will be highly organised, reliable, and able to work confidently within a busy and fast-paced care environment. You will have excellent communication and listening skills, a flexible approach, and the ability to use your own initiative while providing effective administrative support to the service.
You will be the first point of contact for general administrative enquiries and will provide a professional, compassionate, and responsive service while building strong working relationships with colleagues, the people we support, families, applicants, and external professionals.
The role will involve supporting the smooth running of the service through a range of administrative duties, including maintaining confidential records, supporting recruitment processes, managing documentation, and ensuring accurate and timely completion of administrative tasks.
Duties & Responsibilities:
- Provide confidential administrative support to the service team, including answering telephone enquiries, responding to emails, arranging meetings, and preparing meeting notes where required.
- Act as the first point of contact for general enquiries and ensure calls and correspondence are handled professionally and directed appropriately.
- Support recruitment administration, including tracking applicants, maintaining recruitment records, and assisting with onboarding processes.
- Maintain accurate service records, filing systems, and confidential documentation.
- Complete general administration duties including scanning, photocopying, data inputting, updating records, and maintaining spreadsheets.
- Update, edit, and proofread reports, documents, and service records.
- Support the management team with day-to-day administrative tasks to ensure the effective running of the service.
- Maintain office supplies, equipment, and service facilities.
- Assist with ordering supplies, processing invoices, expenses, and maintaining relevant administrative records.
- Support with maintaining accurate financial records, petty cash, and service-related documentation where required.
- Liaise with external professionals, suppliers, and service providers as required.
- Collate information and assist with regular reports, audits, and returns.
- Ensure all administrative processes are completed accurately and within required timescales.
- Maintain a high level of confidentiality and professionalism at all times.
Essential Skills & Experience:
- Previous experience working within an administrative role.
- Excellent organisational skills and attention to detail.
- Ability to prioritise workload and manage competing demands in a busy environment.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office packages.
- Ability to work independently and as part of a team.
- A professional, approachable, and positive attitude.
- Experience working within a care or support environment is desirable but not essential.
