Monday to Thursday | Approximately 3–4 hours per day
We are looking for an experienced and dependable Finance & Business Administrator to join our friendly, busy independent garage.
This is a varied, hands-on role combining day-to-day financial management with general business administration and support for our Workshop Manager. The successful candidate will be organised, confident working independently and comfortable taking ownership of the company’s financial and administrative processes.
Key responsibilities
Finance and bookkeeping
- Maintain accurate day-to-day financial records, including sales, purchases, expenses and payroll.
- Process supplier invoices and manage accounts payable and receivable.
- Collect and reconcile receipts and invoices for parts and other purchases.
- Check supplier statements against invoices, credits and returned parts.
- Reconcile bank accounts, petty cash and card-terminal transactions.
- Manage credit control and follow up outstanding customer accounts.
- Prepare and submit VAT returns.
- Manage payroll, workplace pensions and staff expense claims.
- Liaise with HMRC and Companies House when required.
- Work with our external accountant on year-end accounts and tax returns.
- Produce regular, straightforward reports for the owners on cash flow, profitability and overall business performance.
- Identify potential cost savings and flag financial risks or concerns to the owners.
Business and workshop administration
- Provide administrative support to the Workshop Manager.
- Help maintain accurate job records, supporting paperwork and internal systems.
- Resolve supplier queries and ensure credits are received for returned or incorrectly supplied parts.
- Support the management of administrative processes and non-technical staff matters.
- Manage company utilities, contracts and service providers.
- Maintain records relating to health and safety, insurance, equipment servicing, waste management and licensing requirements.
- Help ensure important renewals, inspections and compliance deadlines are completed on time.
IT and systems
- Oversee the company’s day-to-day IT systems, hardware and software licences.
- Help manage the garage management system, accounting software, point-of-sale system and email/office software.
- Act as the first point of contact for basic IT issues.
- Liaise with external IT support and software suppliers when required.
About you
You should have:
- Previous experience in bookkeeping, accounts administration or a similar finance role.
- Experience preparing VAT returns and managing payroll and pensions.
- Good working knowledge of SAGE 50accounting software and Microsoft Office.
- Excellent attention to detail and strong organisational skills.
- The confidence to work independently and take responsibility for deadlines.
- A practical, approachable manner and the ability to work with a busy workshop team.
- Discretion when dealing with confidential financial and employee information.
Experience within the motor trade, or another busy service-based business, would be helpful but is not essential.
Hours
The role will initially be approximately 3–4 hours per day, Monday to Thursday/Friday. We can offer some flexibility around the exact start and finish times, but regular on-site attendance will be required.
