About the Role
Good support services depend on someone keeping information, appointments, resources, and communication organised behind the scenes.
As a Resource Assistant, you will support the day-to-day delivery of community and carer services by maintaining records, coordinating appointments and activities, preparing information, and helping people access the right resources at the right time.
The role combines practical administration with direct contact with service users. You may begin the day updating referral records, then help organise a group session, respond to a carer enquiry, prepare information packs, or coordinate follow-up actions with partner organisations.
Key Responsibilities
- Provide administrative support for community and carer support services.
- Maintain accurate service-user records and contact information.
- Process referrals and ensure relevant information is recorded correctly.
- Coordinate appointments, meetings, workshops, and support activities.
- Prepare information packs, forms, and resource materials for service users.
- Respond to routine telephone and email enquiries.
- Direct individuals to appropriate internal or external support services.
- Maintain activity calendars and booking schedules.
- Support the organisation of community events and information sessions.
- Record attendance and participation in scheduled activities.
- Update databases and electronic case-management systems.
- Prepare letters, reports, and routine correspondence.
- Assist with maintaining directories of local support organisations and services.
- Coordinate room bookings and practical arrangements for meetings or workshops.
- Support staff with follow-up actions arising from referrals or appointments.
- Maintain confidential documentation in line with data-protection requirements.
- Help track service activity and prepare basic statistical reports.
- Monitor stocks of forms, information materials, and office supplies.
- Liaise with schools, community organisations, carers, and partner agencies where required.
- Support improvements to administrative and referral processes.
What We Are Looking For
- Previous experience in administration, community services, education support, social care administration, customer service, or a related environment.
- Strong organisational skills and confidence managing several tasks at once.
- Good written and verbal communication skills.
- Comfortable communicating with service users, carers, and partner organisations.
- Good working knowledge of Microsoft Word, Excel, Outlook, and general office systems.
- Ability to maintain accurate and confidential records.
- Experience using case-management or customer-record systems would be advantageous.
- Strong attention to detail when processing referrals and service information.
- Ability to work calmly when dealing with sensitive or personal enquiries.
- Experience supporting meetings, workshops, or community activities would be beneficial.
- Good time-management skills and ability to meet administrative deadlines.
- Understanding of confidentiality and data-protection responsibilities.

Pay: £25,420.00-£28,000.00 per year
