Accounts & Administration Manager

We are proud of our reputation for delivering high standards of customer service and hospitality, and we are seeking an organised, proactive and detail-focused Accounts & Administration Manager to join our team and support the smooth running of the Club's financial and administrative operations.
The Role
This is a varied and important position that combines bookkeeping, financial administration, membership support and office management.
Working closely with the Financial Director, General Manager, department heads and external accountants, you will play a key role in ensuring the efficient day-to-day administration of the Club while maintaining accurate financial records and supporting excellent service for members and visitors.
Key Responsibilities
Accounts & Finance
- Maintain accurate financial records using the Club's accounting systems.
- Process purchase invoices and supplier payments.
- Raise and manage sales invoices.
- Perform bank reconciliations.
- Manage credit control and debtor accounts.
- Process employee expenses and staff payments where required.
- Assist with payroll administration.
- Prepare VAT information and support VAT returns.
- Produce financial reports and assist with monthly management accounts.
- Liaise with external accountants, auditors and banking providers.
- Maintain accurate financial filing and documentation.
Membership Administration
- Maintain member records and database systems.
- Process membership subscriptions and payments.
- Support membership renewals and new member applications.
- Respond to membership and account-related enquiries.
- Assist in producing member communications and notices.
- Support competitions administration and event entries where required.
Office Management & Administration
- Manage the day-to-day operation of the Club office.
- Maintain organised records and administration systems.
- Order office supplies and equipment.
- Coordinate incoming and outgoing correspondence.
- Support Club governance and committee administration where required.
- Assist with policy administration and regulatory compliance records.
- Maintain employee records and training documentation.
Club & Event Support
- Provide administrative support for Club competitions, social events and functions.
- Assist with the organisation and promotion of member and visitor events.
- Support visitor bookings, corporate golf days and hospitality functions.
- Liaise with suppliers and contractors where required.
- Work collaboratively with the golf operations, catering and greenkeeping teams to support Club activities.
About You
We are looking for someone who is:
- Experienced in bookkeeping and financial administration.
- Confident using accounting software such as Xero.
- Highly organised with excellent attention to detail.
- Professional, approachable and customer-focused.
- A strong communicator, both written and verbal.
- Able to manage multiple priorities effectively.
- Self-motivated and capable of working independently.
- Proficient in Microsoft Office, particularly Excel, Word and Outlook.
- Comfortable working within a busy and varied operational environment.
Desirable Experience (but not essential)
- Previous experience within a golf club, hospitality, leisure or membership organisation.
- Membership administration experience.
- Payroll administration experience.
- Knowledge of club management software such as Intelligent Golf.
- Experience supporting committees, boards or governance functions.
- Experience working within a small business or member-owned organisation.

Working Hours
Full-time, Monday to Friday (40 hours per week) Job share considered for right candidates
Some flexibility may occasionally be required to support Club competitions, events and key business activities.
Salary: £35,000 - £45,000 per annum, dependent upon experience.
