Part-Time Personal Assistant (Home-Based with Occasional London Attendance)
We are seeking an organised, reliable and proactive Personal Assistant to support the directors of a growing London property-management business.
This is a varied, predominantly home-based position involving administration, communication, diary management and general business support. The successful candidate must be based within practical travelling distance of Hackney and available to attend occasional in-person meetings or client properties when required.
We are looking for someone who wants to become a trusted, long-standing member of the business. This is a permanent position rather than a short-term or transitional role. The responsibilities and scope of the role are expected to grow over time, with opportunities to take greater ownership as the business develops.
Key duties and responsibilities
- Managing emails, correspondence and follow-up actions
- Organising diaries, appointments, meetings and reminders
- Preparing and formatting letters, reports, spreadsheets and other documents
- Maintaining accurate electronic records and filing systems
- Communicating professionally with clients, residents, contractors and other parties
- Monitoring outstanding matters and ensuring actions are followed through
- Arranging property appointments, inspections and contractor visits
- Occasionally attending client properties or meetings in London
- Taking photographs, recording information and preparing concise site reports when required
- Assisting with invoices, expenses and basic administrative record-keeping
- Researching services, suppliers and practical solutions
- Helping to improve administrative systems and working processes
- Handling confidential and commercially sensitive information appropriately
- Providing other reasonable PA and business-administration support as required
Qualifications, experience and attributes
- At least two years’ experience as a PA is preferred; however, applicants who can demonstrate equivalent capability will also be considered
- Excellent written and spoken English
- Strong organisational and time-management skills
- Confident using email, calendars, word-processing software and spreadsheets
- Careful attention to detail and a high standard of accuracy
- Professional and confident when communicating with clients and contractors
- Able to prioritise tasks and follow matters through without constant supervision
- Reliable, discreet and comfortable handling confidential information
- Practical, resourceful and willing to take initiative
- Comfortable learning new software and using AI-assisted administrative tools
- Based within practical travelling distance of London and able to attend in person when reasonably required
- Legally entitled to work in the United Kingdom
Working arrangements
- Part-time: approximately 5-8 hours per week
- This is a self employed freelance position
- Predominantly home-based
- Occasional attendance at meetings and client properties in Hackney
