Job Purpose
As an Administrator, you will work as a member of a wider team to ensure efficient, effective and proactive running of the mail, records management and print room service.
This role is 37.5 hours per week. This is a 6-month Fixed Term Contract, predicted end date is the 31st December 2026.
Duties and Responsibilities
- Serve as the first point of contact for client enquiries via email and post.
- Assess client requests and accurately direct them to the appropriate processing team for action.
- Provide administrative support including document handling, data entry and records maintenance.
- Scanning of records.
- Manage incoming and outgoing mail, ensuring timely distribution and dispatch.
- Verify information and documentation for completeness and accuracy before processing.
- Maintain organised filing systems (digital and physical) in line with company procedures.
- Liaise with internal departments to ensure client requests are handled efficiently.
- Support colleagues and work as a team in order to achieve the best results for clients.
- Undertake additional duties as requested by Management.
- Take responsibility for meeting targets.
- Advising where appropriate on the best method of product and cost savings.
- Deliver professional customer service while maintaining confidentiality and compliance standards.
Candidate Skills
- Competent with Microsoft Office tools; Work, PowerPoint, Excel, Teams and Outlook.
- Strong team approach.
- Working accurately, under pressure to tight deadlines with the ability to remain calm.
- Excellent customer service and calm compliant handling.
- Confidence in communicating effectively in a variety of written and verbal formats, with diverse audience.
- Knowledge of UK & International mailing arrangements is desirable.
