Our Birmingham Service Centre is the engine room behind that success—supporting engineers in the field, managing parts, and delivering a responsive, reliable service to our customers.
We’re looking for a highly organised Parts Administrator to join the team.
This is more than an admin role—you’ll be at the heart of operations, keeping everything moving, solving problems before they arise, and making a real impact every day.

The Role – What You’ll Be Doing
TThis is a dynamic role combining stores, administration, and service coordination.
You’ll work closely with the Parts Manager and Service Managers to ensure everything runs smoothly—from stock control to engineer scheduling.
Your work will directly help ensure:
- Engineers have the right parts at the right time
- Customers receive clear updates and excellent service
- The Birmingham operation runs efficiently and reliably
Key Responsibilities
Parts Picking, Packing & Stock Control
- Pick and pack parts accurately for engineers and service requirements
- Prepare parts for dispatch ensuring items are secure and correct
- Maintain accurate stock records through daily checks and updates
- Assist with stock counts and report discrepancies
Service & Operational Support
- Support Service Managers with daily coordination and administration
- Maintain engineer rotas and help ensure adequate coverage for holidays or absence
- Liaise with customer venues regarding engineer availability or schedule changes
- Distribute fixed visit rotas as directed by the Service Manager
- Act as a key link between engineers, managers and customers
Reporting & Administration
- Prepare operational reports for Service Managers and the Parts Manager
- Provide weekly progress updates to customers on projects
- Compile KPI reports for customers and internal teams
- Investigate outstanding or uncollected machines and provide updates
- Maintain incident reporting and customer reporting requirements
- Produce weekly reports on outstanding parts and identify trends
Parts Administration Support
- Assist the Parts Manager with day-to-day administrative tasks
- Maintain parts tracking systems and spreadsheets
- Record parts orders, returns and outstanding items
- Monitor parts usage trends and highlight delays or issues
Customer & Team Liaison
- Communicate with customers and internal teams on behalf of management
- Build strong relationships across operations
- Ensure communication is clear, professional and proactive
Wider Team Support
- Provide cover for the Purchase Administrator during holidays or absence
- Support the wider team during busy periods
- Maintain an organised and efficient working environment
Compliance
- Follow all regulatory requirements including the Gambling Act 2005
- Ensure processes are followed consistently and accurately

What We’re Looking For
- Experience in a warehouse, stores or operational administration role
- Strong organisational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Confident communicator with colleagues and customers
- Good IT skills (Excel, reporting systems, databases)
- A proactive team player with a positive attitude
