Assistant Contracts Manager – Central London
What We Are Looking For
MCD Heritage is looking for an Assistant Contracts Manager to join our team based in the Belgravia area of London.
Working closely with our Contracts Management and Site Management teams, you will play an important role in supporting the successful delivery of multiple projects. The role combines office-based commercial and administrative responsibilities with regular site visits, giving you the opportunity to develop a broad understanding of project and contracts management.
The majority of our projects are based in Belgravia, with occasional projects in Mayfair and other areas of Central London.
A CSCS card is required for this role.
We are looking for someone who is highly organised, confident communicating with a wide range of people and able to manage competing priorities across a busy and ever-changing project portfolio. You will need to be proactive, solutions-focused and able to maintain a professional approach when working under pressure.
Responsibilities
- Prepare and distribute newsletters, notices and communications to clients, team members, residents and other affected parties.
- Act as a key point of contact for project-related enquiries, providing timely and professional updates.
- Establish and maintain positive relationships with clients, residents, subcontractors and other stakeholders.
- Liaise regularly with Site Supervisors and operational teams to gather project updates, progress reports and key information.
- Engage with subcontractors to schedule and coordinate works across multiple projects.
- Assist with resolving scheduling conflicts and logistical issues, escalating concerns where appropriate.
- Support day-to-day commercial activities, including raising and processing purchase orders.
- Maintain accurate commercial records and documentation to support reporting and financial control.
- Manage your own workload across multiple projects, maintaining an organised calendar of meetings, site visits, deadlines and key project milestones.
- Maintain accurate project records, correspondence and documentation.
- Attend project meetings and site visits to support project delivery and remain up to date with progress.
- Provide general support to the Contracts Management team as required.
Ideal Skills & ExperienceMicrosoft 365
Proficiency in Microsoft 365, including Word, Excel, PowerPoint and Outlook, is essential. A significant part of this role will involve working with these systems, so the successful candidate should be comfortable using them on a daily basis.
The ability to support other team members with their use of Microsoft 365 would also be desirable.
Communication
Excellent verbal and written communication skills are essential. You will communicate regularly with clients, subcontractors, Site Supervisors, residents, neighbours and members of the public.
You should be confident communicating clearly and professionally with a wide range of people and adapting your approach to different situations.
Problem Solving & Analytical Thinking
Projects can change quickly and unexpected challenges will arise. You should be able to think logically, contribute to solutions and exercise good judgement when dealing with unforeseen issues.
Attention to Detail & Accuracy
Attention to detail is particularly important in this role. You will be responsible for preparing communications, maintaining project records, supporting commercial administration and assisting with health and safety documentation.
Good written English, spelling and numeracy skills are therefore essential.
Working Under Pressure
Our project pipeline is busy and constantly changing. The successful candidate will be comfortable managing competing priorities, adapting to changing requirements and remaining calm and professional during demanding periods.
