Role Summary

The Payroll Officer will be responsible for the accurate and timely processing of payroll and benefits, ensuring full compliance with HMRC requirements and internal controls. Working closely with the HR Manager, the HR Advisor plays a key role in supporting organisational performance through effective people management, coaching, and development.
Primary Functions & Responsibilities
Payroll Processing
- Process and administer payroll and benefits, including resolving payroll-related queries and discrepancies
- Validate payroll data (hours, overtime, absence, deductions)
- Ensure accuracy before submission and approval
- Meet defined payroll KPIs, including accuracy, timeliness, and compliance standards
- Ensure Payroll documentation (pay slips, P45, P60) are issued within agreed timescales
Compliance & Reporting
- Ensure compliance with HMRC, pensions, and statutory requirements
- Maintain audit-ready payroll records
- Report on key payroll-related metrics, including payroll accuracy, payroll costs, overtime, absence impact on payroll, statutory payments (SSP/SMP), and payroll discrepancies/errors
Employee & Stakeholder Support
- First point of contact for payroll queries
- Resolve pay discrepancies and escalations
- Liaise with Finance and external providers
- Provide guidance to managers on payroll and benefits-related matters
Benefits & Pensions
- Administer pension schemes and auto-enrolment
- Support benefits administration and communication
- Ensure accurate and timely communication to employees regarding pay, benefits, and pension arrangements.
Systems & Data
- Maintain payroll system accuracy (i.e. Staffology)
- Ensure data integrity between HR and payroll systems
Continuous Improvement & Process Optimisation
- Proactively review and improve payroll processes to enhance efficiency, accuracy, and timeliness of payroll delivery.
- Identify opportunities to streamline workflows, reduce manual intervention, and eliminate duplication of effort.
- Support the implementation and optimisation of payroll systems and automation tools to improve processing times and data accuracy.
- Monitor payroll processing timelines and recommend improvements to reduce cycle time and increase operational efficiency.
- Analyse payroll errors, discrepancies, and trends to identify root causes and implement corrective actions.
- Collaborate with HR and Finance to improve data flow, ensuring accurate and timely input into payroll systems.
- Contribute to continuous improvement initiatives, including system upgrades, process standardisation, and best practice adoption.
- Maintain up-to-date process documentation and standard operating procedures (SOPs) to support consistency, compliance, and audit readiness.
Skills/Experience/Qualifications
- Proven experience in a payroll-focused role, with responsibility for end-to-end payroll processing.
- Strong working knowledge of UK payroll legislation, including HMRC requirements, statutory payments (SSP, SMP), and pensions/auto-enrolment.
- Experience using payroll systems (e.g. Staffology or similar) and maintaining accurate payroll data.
- High level of accuracy and attention to detail, with the ability to identify and resolve discrepancies.
- Strong numerical and analytical skills, with the ability to interpret payroll data and produce reports.
- Proficient in Microsoft Office applications, particularly Excel.
- Excellent organisational and time management skills, with the ability to manage payroll deadlines and competing priorities.
- Strong communication skills, with the ability to explain payroll information clearly to employees and stakeholders.
- Ability to handle confidential and sensitive information with integrity and discretion.
- Problem-solving mindset with the ability to investigate and resolve payroll-related issues efficiently.
- Ability to work independently and collaboratively within a team environment.
