Job Purpose
The Receptionist is the first point of contact for staff and visitors, in person and by phone, and plays a key role in creating a professional, welcoming environment. Reporting to the Office Manager, the role combines front-of-house reception duties with day-to-day administrative support, helping the building and its people run smoothly.
Key Responsibilities
- Act as the first point of contact for all visitors and incoming calls, ensuring an efficient, professional and welcoming service at all times.
- Create a positive, memorable experience for every staff member or visitor who contacts or enters the building.
- Sign in and badge all visitors in line with building security procedures, maintaining accurate visitor logs and treating visitor information confidentially.
- Take ownership of the reception area, keeping it immaculately presented and covered, and ensuring no guest or request goes unanswered.
- Support colleagues with ad hoc requests and projects, offering strong organisational skills across a range of scenarios.
- Manage everyday office tasks to a high standard, including distributing post, booking meeting rooms and ordering and replenishing kitchen and stationery supplies.
- Maintain accurate records through data entry and filing, including visitor logs, courier logs and phone directories.
- Support scheduling and diary coordination for meeting rooms and provide light calendar support to the Office Manager where needed.
- Coordinate maintenance contractors and cleaners, reporting to the Office Manager as part of facilities management.
- Manage recycling, shredding and data destruction processes.
- Arrange contractor access for building maintenance and operations.
- Act as a fire warden and first aider for the office (training provided).
