McConnell Ltd is a Principal Contractor who deliver external refurbishment, modernisation and planned maintenance services for public and private sector property owners across the UK. We also have dedicated divisions that provide Specialist Roofing & Painting and Cladding services.
Purpose
The Bid Coordinator is responsible for supporting the bid and estimating team with the end to end bid and tender process. The role works closely with internal stakeholders to gather information, manage bid documentation, maintain bid schedules, and support the delivery of compelling proposals that meet customer requirements and business objectives.

- Working Hours: Full-time 8.00am – 5pm Monday to Thursday and 4pm Friday
Key Responsibilities
Opportunity Management
- Daily monitoring of tender portals (Public Contract Scotland, BiP Solutions etc)
- Upload and download tender documents from procurement portals
- Support the work winning team by preparing opportunity summaries and highlighting key risks or requirements, as a part of the Bid/No Bid process
- Maintain bid plans, trackers, calendars and submission schedules
- Updating internal opportunities management system (Project Gateway/Evision)
Bid Coordination
- Setting up files and folders for new opportunities
- Work closely with Bid Managers to assist them in the completion of their bid submissions including, Expressions of Interest, Pre-Qualification Questionnaires and Quality submissions to accompany tender documents where/if appropriate
- Coordinate site visit, meetings, workshops and reviews throughout the bid lifecycle
- Track deadlines, clarifications and submission requirements to ensure full compliance
- Maintain tender logs, document control, version management, and approval records
- Provide regular updates on bid progress, risks, actions, and deadlines
Document Management & Compliance
- Maintain and update the bid library (tender responses, case studies, CVs, experience etc)
- Work with bid managers to gather technical content and ensure accuracy
Administrative & Team Support
- Daily management of bids mailbox
- Maintain bid calendars, trackers, and internal communication channels
- Assist with post submission activities including archiving, feedback capture, lessons learned sessions, case studies
- Support social value opportunities/events where appropriate
- Liaise with Marketing for monthly Win Comms, project completions, site photography
- Any other associated duties and general administration
Qualifications
Essential
- Experience in bid/tender coordination, project coordination, administration or a similar role
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to coordinate effectively with multiple stakeholders across different functions
- Competence in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint
- Calm under pressure
Desirable
- Experience working within a bid or team support role
- Knowledge of tendering and procurement processes
- Experience supporting public sector or regulated procurement submissions
- Familiarity with bid management, or document management systems
- Understanding of bid proposal writing and contract requirements
- Relevant qualification in business administration or a related discipline
- Knowledge of Adobe InDesign would be advantageous
