As our business continues to grow, we are looking for a highly organised and proactive Sales Coordinator to become a key member of our operations team.
The Role
The Sales Coordinator is responsible for ensuring the smooth day-to-day administration of the sales operation. You will be the central point of contact between customers, sales representatives, purchasing, warehouse and suppliers, ensuring orders are processed accurately, stock is managed efficiently and customers receive excellent service.
This is a busy, varied role that requires excellent organisational skills, attention to detail and the ability to manage multiple priorities.
Key Responsibilities
Customer Service
- Answer incoming telephone calls professionally.
- Respond promptly to customer emails and enquiries.
- Provide customers with product, pricing and stock information.
- Resolve customer queries and escalate where appropriate.
- Build strong relationships with customers through excellent service.
Sales Order Processing
- Process customer orders accurately using Sage.
- Monitor orders through to dispatch.
- Produce quotations where required.
- Amend and update customer orders.
- Ensure pricing and discounts are correct.
- Liaise with the warehouse regarding urgent orders.
Back Order Management
- Monitor daily backorders.
- Communicate expected delivery dates to customers.
- Liaise with purchasing regarding outstanding stock.
- Work with the sales team to minimise lost sales opportunities.
- Prioritise allocation of limited stock where necessary.
Sales Representative Support
- Provide administrative support to field sales representatives.
- Assist with customer pricing and quotations.
- Update reps on stock availability.
- Produce reports as required.
- Support customer account reviews.
Purchasing Support
- Raise purchase orders for UK suppliers.
- Chase suppliers for delivery dates.
- Monitor supplier lead times.
- Update expected arrival dates.
- Help maintain appropriate stock levels.
Imports & Containers
- Book incoming containers with freight companies.
- Coordinate deliveries into the warehouse.
- Liaise with freight forwarders.
- Ensure documentation is complete before arrival.
- Communicate expected arrivals internally.
- Assist with resolving shipment delays.
Stock Administration
- Monitor stock shortages.
- Investigate stock discrepancies.
- Assist with stock allocation.
- Update product information.
- Support stock forecasting and replenishment activities.
Internal Communication
- Liaise closely with Warehouse, Purchasing and Sales teams.
- Ensure everyone is aware of stock issues.
- Communicate delivery delays.
- Help coordinate priority customer orders.
- Support continuous improvement of internal processes.
General Administration
- Maintain accurate customer records.
- File documentation electronically.
- Produce reports using Excel.
- Maintain pricing files.
- Assist with projects as required.
Skills & Experience

- Previous Sales Administration or Sales Coordination experience.
- Excellent customer service skills.
